Responsibilities & Context:

Job Summary:

The HR & Admin Executive will be responsible for ensuring smooth administrative operations of the office or site, including asset management, vendor coordination, logistics, documentation, and compliance with organizational policies. The role demands efficiency, integrity, and coordination with internal teams and external stakeholders.

Key Responsibilities:

General Administration:

  • Oversee daily operations of the administrative department.

  • Monitor cleanliness, safety, and maintenance of office premises.

  • Handle telephone, courier, and postal services efficiently.

Procurement & Inventory:

  • Maintain and manage stock of office supplies, stationeries, and fixed assets.

  • Process requisitions and purchases in coordination with the procurement team.

  • Keep updated vendor records and ensure quality compliance in services.

Facility & Maintenance:

  • Ensure the proper functioning of all utilities (electricity, generator, water supply).

  • Oversee office repairs, renovations, and general maintenance.

  • Coordinate security and housekeeping teams for daily operations.

Chairman`s Office Support:

  • Coordinate schedule, appointments, and travel plans for the Chairman.

  • Maintain confidentiality of all documents, communications, and meeting records.

  • Prepare minutes, drafts, and reports as assigned by the Chairman or his office.

  • Act as a liaison between the Chairman and internal/external stakeholders.

  • Arrange logistics and hospitality for visitors to the Chairman’s office.

  • Ensure timely follow-ups on delegated tasks and instructions from the Chairman.

  • Manage travel, transport, and accommodation arrangements of Chairman.

Documentation & Compliance:

  • Organize and preserve administrative files, licenses, and agreements.

  • Support audit teams and ensure compliance with local regulations.

  • Maintain safety, health, and fire compliance documents.

HR Functions:

  • Facilitate a smooth onboarding process for new employees, ensuring they are integrated effectively into the organization.

  • Implement and manage performance appraisal processes, set clear performance standards, and guide managers on giving constructive feedback and setting development goals.

  • Drive change initiatives that promote cultural transformation, enhance employee engagement, and support organizational goals. Assist in the design and implementation of OD strategies that align with the company`s mission and values.

  • Create clear career paths for employees and identify high-potential talent for leadership roles. Support managers in preparing development plans to nurture employees` skills and growth.

  • Utilize HR metrics and data to analyze trends in turnover, engagement, training, and productivity. Provide data-driven insights to support decision-making processes.

  • Generate reports on HR and OD initiatives, including progress on training programs, employee performance, and engagement levels. Present findings to leadership with actionable recommendations.  

Other Qualifications:

  • Familiarity with AI-based software and tools will be considered an asset.

  • Proficiency in HR software and Microsoft Office Suite.

  • Understanding of labor laws and employment regulations.
