Responsibilities & Context:

Job Purpose

The Sales Coordinator will provide operational, reporting, and coordination support to the sales team. The role is responsible for maintaining sales data, preparing accurate reports, coordinating with internal teams, and ensuring smooth sales operations through strong command over Excel-based reporting and data analysis.

Key Responsibilities

Sales Coordination & Support

  • Coordinate day-to-day sales activities and support sales executives.
  • Assist in preparing quotations, proposals, and sales-related documentation.
  • Maintain updated records of leads, opportunities, and customer information.
  • Follow up with internal stakeholders (pre-sales, finance, commercial, and delivery teams) to ensure smooth sales operations.
  • Track order status and support the sales team throughout the sales cycle.

Reporting & Data Management

  • Prepare daily, weekly, monthly, and quarterly sales reports.
  • Generate pipeline, forecast, revenue, and performance reports for management review.
  • Ensure accuracy, consistency, and timeliness of all sales reports.
  • Analyze sales data to identify trends, gaps, and opportunities for improvement.
  • Maintain MIS reports and management dashboards.

Excel & System Management

  • Demonstrate strong proficiency in Microsoft Excel, including:
    • Pivot Tables
    • VLOOKUP / XLOOKUP / HLOOKUP
    • IF, SUMIF, COUNTIF functions
    • Data validation, filtering, and conditional formatting
    • Charts and basic dashboards
  • Maintain sales trackers, pricing sheets, and performance matrices.
  • Update and manage sales data in CRM/ERP systems (if applicable).

Internal & External Communication

  • Coordinate between sales teams and other departments for effective execution.
  • Communicate professionally with vendors, partners, and clients when required.
  • Support sales meetings with data, reports, and documentation.

Compliance & Documentation

  • Ensure all sales documentation complies with company policies and procedures.
  • Maintain proper records and document control for sales-related files.
  • Support audits and management reviews with accurate reporting.
