∎ Summary:
∎ Provides information to manager and team, does administrative support to them, and does coordination with all on behalf of the project. Assist the Project Manager in his/her work. Ensure the representation of the project in the assigned tasks.
∎ The position is assigned to Pathfinder`s Bangladesh WLCR project in Bangladesh. It is a four-year project funded by Takeda Pharmaceuticals Company Limited as its` Global CSR Program. The project aims in advancing the leadership of women and girls towards better health and climate change resilience in Bangladesh.

Job Responsibilities:
∎ Reception and Customer Service: Greets and responds to visitors' inquiries in person, by telephone and by email. Prepares responses and replies as appropriate on behalf of the SMT or directs them to the appropriate resource.
∎ Record Keeping: Maintains appropriate document filing, retrieval systems and storage of program documents that are parallel with a paper system.
∎ Report Preparation: Assist the Manager in the development and distribution of routine and special program reports or presentations and other technical materials to staff.
∎ Calendaring and Scheduling: Manages Project Manager's calendar and schedule appointment with external stakeholders.
∎ Meeting Coordination: Acts as secretary to the Project Management Team in the meetings.
∎ Minutes and Report Writing: Take note and do the Bangla/English drafting of the discussion points from any meeting as assigned.
∎ Networking: Develops appropriate contacts within frequently met partner agencies, government and donor offices, among others and make a database of the contact persons.
∎ On-site Visit Logistics Coordination: Manages itineraries and logistics for key program visits by external staff, partners and consultants and for in-house meetings.
∎ Overall Coordination: Manages all types of coordination in any assigned task by the Project Manager.
∎ Project Management and Participation: Manages or participates on cross-functional project teams.

Additional Requirements:
∎ 4 years of experience in office administration or secretarial work
∎ Minimally Required Job-Specific Competencies:
∎ Logistics Practices and Guidelines: Foundational knowledge of best practices and guidelines for logistics.
∎ Meeting Coordination: Ability to schedule and coordinate meetings for staff.
∎ Filing and Record Keeping. Advanced skills in completing forms and filing documentation.
∎ Relationship Management: Ability to establish and maintain relationships with key stakeholders.
∎ Travel Coordination: Ability to coordinate travel plans for others.
∎ Minimally Required Organizational Competencies:
∎ PC Applications: Advanced knowledge of MS Office products, including MS Word, Excel, Outlook, and PowerPoint
∎ Languages: Advanced writing and speaking skills using local language and English language.
∎ Communication: Advanced oral and written communication skills
∎ Resilience, Sexual and Reproductive Health and Rights: Foundational knowledge of resilience. disaster management and sexual and reproductive health services . family planning and reproductive health principles, practices and services, including program strategies and indicators.
∎ Government structure and protocols: Basic knowledge around district level government administrative structure and offices.
∎ Self-Management and Teamwork: Ability to work independently or as a member of the team, ability to be detailed-oriented, and ability to manage stress effectively in a fast-paced environment.
∎ Matrix Management: Ability to thrive in a matrixed organization.
∎ Confidentiality: Ability to handle sensitive and confidential information in a discreet and professional manner
∎ Other Information:
∎ Travel required (as per the need of the project)
∎ Must be willing to travel in public transportation
