Responsibilities & Context:

This position will provide efficient and integrated administrative, financial, and logistics support to ensure smooth project implementation, compliance with organizational and donor requirements, and effective utilization of resources at field and operational levels.

  • Ensure effective administrative, financial, and logistics support for project implementation in compliance with organizational policies, donor requirements, and operational procedures

  • Maintain accurate financial records, process payments, prepare vouchers, and ensure timely settlement of advances and IOUs with proper supporting documentation

  • Assist in the preparation of monthly, quarterly, and annual budgets, financial forecasts, and expenditure plans in coordination with the Program Coordinator

  • Monitor project expenditures against approved budgets, analyze variances, and provide recommendations for budget adjustments and efficient resource utilization

  • Prepare and submit accurate financial reports, budget tracking reports, procurement summaries, and other management information as required by the organization and donors

  • Coordinate cash requisitions, fund transfers, and financial transactions to ensure smooth project operations and compliance with financial procedures

  • Develop and monitor procurement plans, review purchase requisitions, and coordinate with procurement teams to ensure timely acquisition of goods and services in accordance with procurement policies

  • Maintain proper inventory and asset management systems, ensuring accurate stock records, asset registers, and safeguarding of project resources

  • Provide logistical support for trainings, workshops, meetings, donor visits, and field activities, including venue arrangements, transportation, accommodation, and related services

  • Maintain effective filing and documentation systems for financial, procurement, administrative, and contractual records, ensuring confidentiality and easy retrieval

  • Support internal and external audits, compliance reviews, and donor monitoring visits by ensuring complete documentation and timely responses to audit observations and queries

Safeguarding:

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment

  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action

  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
