Job Purpose

This position is responsible for overseeing the daily administrative and accounting activities of the staff canteen, ensuring smooth and efficient operations through effective management of kitchen and canteen hygiene, accurate meal and financial tracking, and comprehensive record-keeping.

Key Responsibilities

  • Maintain accurate records of daily cash flow and expenses, along with preparing ledgers, vouchers, and other relevant accounting documents.

  • Reconcile vendor invoices to ensure prompt payments and correct billing.

  • Prepare financial reports on a daily, weekly and monthly basis, and monitor budget utilization to identify and report any variances or overspending. Oversee payroll processing for canteen staff

  • Maintain accurate records of food stock, groceries and consumables, while coordinating with vendors and suppliers to ensure timely procurement of required materials.

  • Oversee adherence to food safety, hygiene and health standards, and manage staff schedules, attendance and leave records.

  • Participate in monthly purchase committee meetings and bulk purchasing days, handle vendor quotation invitations, compare quotes, and prepare work orders for selected suppliers.

  • Retrieve next-day meal orders from the online portal and ensure required items are procured from approved vendors (as per CS) or the local market, if necessary.

  • Ensure compliance with audit requirements by maintaining proper supporting documentation, preparing necessary records for internal and external audits, vendor agreements, and contracts up to date, and conducting monthly stock audits along with inventory reconciliation.

  • Foster cordial and professional relationships with canteen staff and food vendors, monitor staff performance and promptly report any issues to management, and assist in evaluating vendors and negotiating contracts to ensure quality service and cost-effectiveness.

  • Supervise the activities of meal preparation and distribution process and ensure cleanness of floor, quackeries item.

SAFEGUARDING RESPONSIBILITIES

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.

  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.

  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so
