Responsibilities & Context: Executive Support
- Keep the MD's day on track by managing calendars, scheduling appointments, and providing timely reminders.
- Handle all communication - calls, emails, and messages - with clarity, professionalism, and discretion.
- Provide daily coordination support to the Managing Director, ensuring tasks are handled efficiently and confidentially
Meetings & Events
- Plan and coordinate meetings, business events, and leadership gatherings.
- Capture and distribute clear, actionable meeting notes.
- Collaborate with internal teams to manage all logistics related to MD meetings - from booking rooms to ensuring seamless tech setup.
Travel & Hospitality
- Organize smooth local and international travel arrangements, including flights, visas, hotels, and ground transport.
- Prepare all required travel documents, such as NOCs and visa letters.
- Manage guest visits to the office— including scheduling, hospitality, and accommodation.
Office Operations
- Monitor and manage office supply needs and equipment orders for the MD's workspace.
- Oversee upkeep and maintenance of office assets used by the MD.
- Ensure timely payment of bills and subscriptions related to the MD's office.
Administrative Coordination
- Maintain organized, accessible, and up-to-date management files and documentation.
- Act as a liaison between the MD's office and external stakeholders.
- Support internal initiatives, cross-functional collaboration, and special projects assigned by the Managing Director.
