Responsibilities & Context:
∎ Main responsibilities :

∎ Fleet Management (40%)
∎ • Be the unique focal point for daily fleet management.
∎ • Consolidate weekly the movement plan and make it validated by the field logistician
∎ • Ensure that drivers comply with TDH Fleet rules and procedures.
∎ • Manage the fleet of Cox Bazar emergency office: trip requests, weekly movement plans, etc.
∎ • Ensure smooth supervision of the drivers in Cox Bazar, according to HR policies and Internal regulations (weekly meetings, motivation of the team...etc.).
∎ • Make sure that the fleet can meet the needs of projects and respects security procedures,
∎ • Prepare a monthly report to his/her line manager
∎ • Ensure the follow-up of vehicle and drivers (rental) contracts and keep updated a precise follow up including payment follow-up.
∎ • Collect and report the required information related to the movement tracking,
∎ • Make sure that each TDH vehicle is equipped with the necessary items and documents (insurance, first aid kit, etc.).
∎ • Check the vehicle log books are in place and are properly used.
∎ • Ensure the submission of the Vehicle bill on time.
∎ • Follow up the daily and weekly checks consistently,
∎ • Communicate the security information to the drivers upon request from the Line Manager.
∎ • Fllow and organize the buses collect and drop.
∎ • Responsible for organizing monthly Driver's meetings and duty roster.


∎ Management of storage spaces (20%)

∎ • Ensure provisions for the staff and necessary arrangement of equipment for loading/unloading.
∎ • Supervise the team of daily workers charged with storage activities
∎ • Draft or complete dispatch and receipt documents in compliance with Tdh standards
∎ • Monitor incoming and outgoing stock and equipment.
∎ • Maintain updated inventory lists.
∎ • Ensure adequate ventilation of the spaces
∎ • Ensure the equipment and machines used by teams are cleaned before returning to storage.
∎ • Regularly monitor the quality of products during storage. Pay special attention to expiration dates.
∎ • Participate in monthly stored goods and equipment inventories and reconciliation with what should be in stock.

∎ Procurement Management (20%)

∎ • Ensure the TDH and donors' procurement rules are respected.
∎ • Support Program in terms of specification or ToR or SoW development.
∎ • Evaluate and negotiate contracts with vendors (prices, delivery time, payment terms)
∎ • Recommends contract adjustments and assists in the preparation of contracts before seeking approval of the Logistics Manager
∎ • Works in close collaboration with the procurement assistant to update regarding the order ongoing.
∎ • Identify the new suppliers and make permanent research of new sources of supply for the benefit of the Organization.
∎ • Ensure the submission of the supply bill on time.
∎ • Verify the consignment has arrived at the final destination and collect the documentation to settle the payment accordingly.
∎ • Carry out the on-site quality inspection process in coordination with the Program.

∎ Management of premises (20%)

∎ • Responsible for the management of rental contracts for all premises
∎ • Responsible for contracts linked to utilities of the premises (water, electricity, etc).
∎ • Monitor the storage facilities and infrastructure both from inside and outside: locate damages and propose the necessary repairs.
∎ • Ensure adequate and required equipment/furniture are in place and functioning
∎ • Ensure follow-up and supply of office supplies
∎ • Ensure the maintenance and repairs of the premises
∎ • Ensure that safety equipment is present, up-to-date and in compliance in the different offices and guest houses.
∎ • Coordinate the generator fuel management of the office.
∎ • Responsible for managing Office and Guest House premises Security guard.
∎ • Other responsabilities
∎ • Responsible for monthly reports of store management, Fuel Management and Equipment /asset follow-up.
∎ • Responsible for office /GH Management ( manage to cleaner etc. )
∎ • Accept other responsibilities as assigned by the Line Manager
