The Front Office Executive will report to the Corporate Affairs and Business Development Manager. They will act as the first point of contact for visitors and clients, handling inquiries, directing them appropriately and managing the reception area.

Responsibilities:

  • Greeting and Directing: Welcoming visitors, determining their needs, and directing them to the appropriate person or area.
  • Phone Management: Answering and routing phone calls, taking messages, and providing information.
  • Appointment Scheduling: Managing calendars, scheduling appointments, and coordinating meeting rooms.
  • Mail and Delivery Handling: Receiving, sorting, and distributing mail and packages.
  • Administrative Support: Assisting with tasks like data entry, typing, filing, and general office support.
  • Maintaining the Reception Area: Ensuring the reception area is clean, organized, and presentable.
  • Customer Service: Addressing inquiries, resolving issues, and providing a positive experience for visitors and clients.
  • Inventory Management: Monitoring and ordering office supplies.
  • Security: Ensuring visitors sign in and out and adhering to company security procedures.
