Experience:
1. Visitor & Candidate Reception
Welcome walk-in candidates, clients, and visitors in a professional manner.
Provide basic information about the agency’s services, ongoing vacancies, and application procedures.
Guide applicants on how to fill out forms, submit CVs, or register online.
Ensure candidates sign in and maintain a proper visitor log.
2. Phone & Email Handling
Answer, screen, and route phone calls to recruiters or relevant departments.
Respond to basic inquiries about job openings, requirements, interview schedules, and agency processes.
Take accurate messages and ensure timely follow-up.
Manage front desk email inbox: acknowledge applications, share standard information, and forward mails to the correct staff.
3. Candidate Registration & Support
Register walk-in applicants in the system or manual logbook.
Check and receive CVs, IDs, and supporting documents from candidates.
Assist candidates with application forms, test schedules, and interview slots.
Provide initial instructions for assessments, interviews, or orientation sessions.
4. Recruitment Coordination (Support Role)
Coordinate interview schedules between candidates, recruiters, and clients.
Call or message candidates for interview reminders, document submission, or test dates.
Help arrange interview rooms and ensure they are prepared for client or candidate meetings.
5. Administrative & Office Support
Maintain an organized and presentable reception area and waiting area.
Handle incoming and outgoing mail, courier, and deliveries.
Perform clerical tasks: photocopying, scanning, filing, printing CVs or documents.
Maintain basic records such as attendance sheets for Office staffs, candidates, interview schedules, and front office registers.
6. Client & Internal Coordination
Inform recruiters or account managers when clients or candidates arrive.
Support communication between candidates and internal staff when there are changes in schedules or requirements.
7. Compliance & Professionalism
Follow agency policies related to candidate handling, data privacy, and security.
Verify IDs or documents when required as part of agency protocol.
Maintain a professional appearance and positive attitude, representing the image of the agency to candidates and clients.
