Responsibilities & Context:
  • Welcome and attend all guests, visitors and clients at the front desk so that all guests are received with courtesy and directed to the appropriate person or department.

  • Manage all incoming phone calls, emails and messages. Handle basic inquiries and ensure prompt and accurate communication within the organization.

  • Maintain an organized and professional reception area that reflects the company’s standards and culture.

  • Assist in planning and preparing the weekly and monthly schedules, including arranging meetings, calls and appointments.

  • Support the Manager-HR & Admin in managing administrative activities, record keeping and office documentation.

  • Prepare letters, memos, reports and other correspondence as instructed, maintaining accuracy and confidentiality.

  • Track and manage the movement of incoming and outgoing documents, parcels and couriers. Ensuring timely delivery and acknowledgment.

  • Monitor and maintain office supplies, stationery and consumables. Prepare requisitions and follow up with vendors when needed.

  • Assist in organizing office events and staff activities, contributing to a positive workplace environment.

  • Maintain and manage Transport, ensuring proper documentation and timely reporting.

  • Any other task decided upon by management.
