Responsibilities & Context:
∎ Warmly greet and welcome all visitors, clients, and guests upon their arrival.
∎ Efficiently ascertain the purpose of each visit and courteously direct visitors to the appropriate person or department.
∎ Maintain a pristine, professional, and welcoming reception area at all times.
∎ Operate the PABX (Private Automatic Branch Exchange) system with proficiency, managing incoming and outgoing calls seamlessly.
∎ Answer all local and international calls promptly, professionally, and transfer them accurately to the correct individual or department.
∎ Proactively take detailed messages for officers and staff members who are unavailable and ensure the timely and accurate delivery of these messages/notes to the concerned personnel.
∎ Assume full responsibility for the end-to-end management of local and overseas parcels, including receiving, dispatching, tracking, and ensuring secure handling.
∎ Prepare and maintain comprehensive reports on all parcel movements for record-keeping and auditing purposes.
∎ Accurately log all incoming and outgoing mail in the designated mail register.
∎ Efficiently sort and distribute incoming mail to the respective departments or individuals.
∎ Receive letters, packages, and various deliveries, ensuring their proper and timely distribution to the concerned desks.
∎ Maintain and update the control system register book meticulously, ensuring all entries are current and accurate.
∎ Undertake any other administrative assignments or duties as required by the Management, demonstrating flexibility and a proactive attitude.
∎ Technical Proficiency: Demonstrated experience and proficiency in operating PABX systems. Competent in using standard office software (e.g., Microsoft Word, Excel, Outlook).
∎ Exceptional Communication: Outstanding verbal and written communication skills in English are essential. Proficiency in other languages relevant to international business (e.g., Bengali, Mandarin) is a significant advantage.
∎ Interpersonal Excellence: Possess a professional, friendly, approachable, and customer-centric demeanor. Ability to interact effectively with diverse individuals at all levels.
∎ Organizational Prowess: Highly organized, meticulous with details, and capable of prioritizing tasks and managing multiple responsibilities efficiently without supervision.
