Responsibilities & Context:

Front Desk Executive – Job Responsibilities

1. Patient Handling & Reception

  • Greet patients and visitors in a polite and professional manner

  • Guide patients regarding services, departments, and doctors

  • Manage patient flow efficiently to avoid crowding

2. Registration & Appointment Management

  • Register new patients and maintain accurate records

  • Schedule, confirm, and reschedule appointments

  • Coordinate with doctors and diagnostic departments (USG, X-ray, lab, etc.)

3. Billing & Payment Collection

  • Prepare bills for diagnostic tests and consultations

  • Receive payments (cash, card, mobile banking)

  • Ensure correct pricing and generate receipts

4. Communication & Coordination

  • Answer phone calls and respond to inquiries

  • Provide information about test preparation (e.g., fasting for blood tests)

  • Coordinate with lab technicians, nurses, and doctors for smooth service

5. Report Handling

  • Inform patients about report delivery time

  • Distribute reports (physical/online) accurately

  • Maintain confidentiality of patient information

6. Data Entry & Documentation

  • Enter patient details and test information into software/system

  • Maintain daily records of patient visits and transactions

  • Ensure proper filing of documents

7. Customer Service & Complaint Handling

  • Handle patient complaints calmly and professionally

  • Escalate serious issues to management when necessary

  • Maintain high patient satisfaction

8. Front Desk Management

  • Keep the reception area clean and organized

  • Monitor token/queue system (if available)

  • Ensure availability of forms, reports, and stationery

9. Marketing Support (Important for your setup)

  • Inform patients about ongoing offers/packages

  • Encourage repeat visits and referrals

  • Assist in promotional activities when required

10. Compliance & Confidentiality

  • Maintain patient privacy and confidentiality

  • Follow center policies and healthcare standards
