  • Master’s / Bachelor’s degree in Accounting, Finance, or MBA in Finance from a recognized institution.

Experience Requirements

  • At least 3 years of relevant experience in finance and accounts.
  • Prior experience working with educational institutions, NGOs, or project-based organizations will be preferred.
  • Experience managing multiple funding sources and financial reporting to various stakeholders is a strong plus.

Skills and Competencies       

  • Sound knowledge of Bangladesh’s accounting and tax regulations.       
  • Proficiency in accounting software (Tally, QuickBooks, or ERP systems).       
  • Excellent skills in MS Excel and financial reporting.
  • Strong analytical and problem-solving abilities.
  • High level of integrity, professionalism, and attention to detail.   
  • Ability to handle workload independently and work collaboratively with teams.
  • Strong interpersonal and communication skills.

Position Summary: AIT is seeking a highly motivated and detail-oriented Finance and Admin Officer to join its core team. This position is responsible for managing the complete financial operations of the institution—including project finances, general accounts, budgeting, audit support, compliance, and reporting. The incumbent will ensure that all financial processes are carried out in line with national regulations, donor requirements, and AIT’s internal policies.

Key Responsibilities:

Financial Management:

  • Manage and maintain accurate records of institutional accounts, including general ledgers, journals, and financial statements.
  • Oversee the financial management of all ongoing and future projects (donor-funded, private, and public sector).
  • Develop and monitor institutional and project budgets in coordination with relevant departments.
  • Ensure timely payment of salaries, vendor bills, procurement settlements, and statutory obligations (VAT, Tax, etc.).
  • Prepare and submit monthly, quarterly, and annual financial reports for management and donors.
  • Maintain bank accounts, reconcile statements, and manage petty cash operations.
  • Coordinate with internal and external auditors and support timely audit completion.
  • Ensure compliance with GoB financial laws, NGOAB (if applicable), and donor policies.
  • Maintain inventory and fixed asset records in coordination with the admin and logistics.
  • Implement and maintain financial control systems and accounting software (e.g., Tally/QuickBooks).
  • Support the procurement committee with financial vetting and documentation.
  • Monitor and enforce financial discipline, internal controls, and cost-effectiveness.
  • Maintain transparency and accuracy in financial record-keeping across all departments.

Administrative Management:

  • Oversee general office operations including maintenance, utilities, and office supplies.
  • Maintain proper administrative records, contracts, and official documentation.
  • Support recruitment, onboarding, and administrative management of HR documents.
  • Facilitate procurement of goods and services following procurement procedures.
  • Ensure the effective use and maintenance of office equipment and assets.
  • Maintain vendor records and ensure timely payments.

Logistics and Event Support:

  • Arrange travel, accommodation, and logistics for project activities and staff movements.
  • Coordinate meeting schedules, prepare venues, and manage necessary logistics for events, workshops, and training programs.
  • Maintain vehicle logs, fuel records, and scheduling where applicable.

Compliance and Risk Management:

  • Ensure all financial and administrative activities comply with organizational policies and donor requirements.
  • Keep track of contract expiration dates, license renewals, and insurance policies.
  • Identify and mitigate potential financial or administrative risks.

Coordination and Reporting:

  • Liaise with banks, vendors, suppliers, and government agencies as required.
  • Support monthly, quarterly, and annual reporting requirements.
  • Coordinate with project teams for financial and administrative needs.
  • Attend relevant meetings and contribute to operational planning and budgeting.

Other Duties:

  • Provide support to other departments and project teams as assigned.
  • Perform any other duties assigned by the management to support AIT’s mission.
