∎ Greet and Welcome: Welcome visitors in a professional and friendly manner, ensuring a positive first impression of the company.
∎ Answer Inquiries: Respond promptly to inquiries via phone, email, and in-person, directing queries to the appropriate departments or individuals.
∎ Manage Calls: Handle incoming calls and route them to the relevant personnel, taking accurate messages when necessary.
∎ Coordinate Meetings: Schedule and coordinate meetings, appointments & ensuring all arrangements are in place.
∎ Attendance and Leave Management: Maintain daily attendance records of office employees and manage the leave schedule, ensuring accuracy and adherence to company policies.
∎ Administrative Support: Provide administrative support to various departments as needed, including data entry, filing, and document preparation.
∎ Maintain Office Supplies: Monitor and replenish office supplies, ensuring adequate stock levels at all times.
∎ Assist with Office Operations: Assist with various office tasks and projects to support the smooth functioning of daily operations.
∎ Handle Correspondence: Sort and distribute incoming mail and prepare outgoing mail for dispatch.
∎ Ensure Office Security: Monitor visitor access and maintain office security by following safety procedures and controlling access via the reception desk.
