Responsibilities & Context:

1. Administrative Support: 

  • Prepare and distribute agendas, minutes, and supporting materials the meetings. 

  • Organize and coordinate Board and Committee Meetings, ensuring proper documentation and follow-up. 

  • Maintain accurate and up-to-date records, including board resolutions and other governance documentation. 

2. Communication Management: 

  • Act as a point of contact among Internal/ External Stakeholders. 

  • Handle correspondence, emails, and calls, ensuring timely responses.  Draft, proofread, and edit documents, reports, and presentations as needed.

3. Scheduling and Calendar Management: 

  • Manage the schedules of Board members, coordinating meetings, travel arrangements, and events. 

  • Monitor deadlines, commitments, and deliverables to ensure efficient time management. 

4. Confidentiality and Professionalism: 

  • Handle sensitive information with the utmost discretion and confidentiality. 

  • Uphold a professional demeanor in all interactions, representing the Director with integrity. 

5. Event Planning and Logistics: 

  • Organize and coordinate events, conferences, and offsite Board meetings. 

  • Arrange travel, accommodation, and itineraries as required. 

6. Liaison Responsibilities: 

  • Collaborate with senior executives, department heads, and external partners to facilitate communication and resolve issues. 

  • Ensure seamless communication and coordination between Board members and the organization. 

7. Office Management

  • Maintain an efficient filing and retrieval system for Board-related documentation. 

  • Manage office supplies and resources.
