Experience:
1. Administrative Support:
Prepare and distribute agendas, minutes, and supporting materials the meetings.
Organize and coordinate Board and Committee Meetings, ensuring proper documentation and follow-up.
Maintain accurate and up-to-date records, including board resolutions and other governance documentation.
2. Communication Management:
Act as a point of contact among Internal/ External Stakeholders.
Handle correspondence, emails, and calls, ensuring timely responses. Draft, proofread, and edit documents, reports, and presentations as needed.
3. Scheduling and Calendar Management:
Manage the schedules of Board members, coordinating meetings, travel arrangements, and events.
Monitor deadlines, commitments, and deliverables to ensure efficient time management.
4. Confidentiality and Professionalism:
Handle sensitive information with the utmost discretion and confidentiality.
Uphold a professional demeanor in all interactions, representing the Director with integrity.
5. Event Planning and Logistics:
Organize and coordinate events, conferences, and offsite Board meetings.
Arrange travel, accommodation, and itineraries as required.
6. Liaison Responsibilities:
Collaborate with senior executives, department heads, and external partners to facilitate communication and resolve issues.
Ensure seamless communication and coordination between Board members and the organization.
7. Office Management:
Maintain an efficient filing and retrieval system for Board-related documentation.
Manage office supplies and resources.
