Responsibilities & Context:

Catalyst Solutions is a multi-national company working based in the USA & Canada, catering to the top 10 marketing research and analytics companies in the world, looking for an Executive Assistant for the Managing Director with well-proven experience as an Executive Assistant.

Job Responsibilities

  • Maintain the MD’s schedule, organize appointments, and manage meeting logistics.

  • Provide regular updates and reminders regarding upcoming events and deadlines.

  • Prepare agendas, meeting minutes, and follow-up action plans.

  • Draft executive-level reports, secretarial notes, and internal communications.

  • Track progress on decisions and pending tasks assigned by the MD.

  • Liaise with internal departments to ensure timely execution of directives.

  • Ensure controlled access and proper documentation of confidential records.

  • Act as a point of contact for government and non-government organizations.

  • Facilitate official correspondence, documentation, and communication flow.

  • Manage accurate and timely flow of critical information to and from the MD’s office.

  • Lead the company’s Corporate Social Responsibility initiatives, including planning and execution.

  • Track daily expenses and prepare financial summaries (weekly, monthly, quarterly).

  • Maintain inventory of office supplies and oversee resource utilization.

  • Screen calls, manage correspondence, and direct inquiries to appropriate stakeholders.

  • Organize travel itineraries for MD

  • Any other secretarial tasks are relevant to the role given by the Managing Director.
