Responsibilities & Context:

ChefOnline is a UK-based National Online Food Ordering Platform, officially recognised as a Google Partner Digital Marketing Agency and a Meta Business Partner under Agency Speciality. We empower restaurants and takeaways across the UK with powerful digital solutions including online ordering, EPoS systems, SEO, social media, and growth-driven marketing.

Our CEO, Mohammed Munim (DBA (Hon.), CeMAP, MNAEA, CIP), is a multi-venture entrepreneur leading ChefOnline, the Asian Restaurant & Takeaway Awards (ARTA), and Salik & Co.

We are now seeking an experienced Business Administrator & Secretary to directly support the CEO in managing strategic, operational, and personal priorities at a global scale.

Role Overview

This role is central to ensuring the CEO’s office operates with precision, efficiency, and professionalism. The successful candidate will provide executive, administrative, and strategic support, acting as the right hand to the CEO across business operations, compliance, and stakeholder relations.

The position demands exceptional organisation, discretion, and communication skills (IELTS 7.5+ equivalent), with the ability to manage competing priorities while maintaining absolute confidentiality.

Key Responsibilities

Executive & Personal Support

- Manage and prioritise the CEO’s calendar, diary, and inbox, ensuring optimal time allocation and follow-through.

- Handle confidential business and personal correspondence with discretion and integrity.

- Prepare reports, presentations, contracts, and correspondence to the highest professional standard.

- Arrange domestic and international travel, itineraries, and event logistics with contingency planning.

Office Administration & Governance

- Oversee daily executive office operations, filing systems, and administrative processes.

- Maintain confidential records and ensure compliance with ISO 9001 Quality Management Standards.

- Support compliance with Companies Act 2006, GDPR, employment law, and wider governance frameworks.

- Manage statutory registers, filings, and board/shareholder documentation.

Stakeholder Management & Communication

- Liaise with clients, partners, senior executives, and external stakeholders on behalf of the CEO.

- Prepare agendas, attend meetings, take minutes, and follow up on action items.

- Coordinate internal cross-departmental initiatives, ensuring alignment with CEO directives.

Leadership & Events

- Support the CEO’s participation in ARTA Awards, ChefOnline events, and media/public appearances.

- Assist in the planning and delivery of corporate events, strategic meetings, and hospitality functions.

- Provide the CEO with industry insights on digital marketing, hospitality, and competitor activity.
