Job Context:
∎ The Associate Finance and Administration Officer is responsible for providing bookkeeping, cash management, payment preparations and general administrate support for PSM CXB offices. This may require strategic management of multiple field offices within the cox`s Bazar District.
∎ Reporting Line: Field Coordinator (FC)

Job Responsibilities:
∎ The key responsibilities of the Associate Finance and Administration Officer will include the following:
∎ General Responsibilities:
∎ Function as the Associate Finance and Administration Officer at the PSM CXB office under supervision of Finance and Administration Officer through book keeping, cash management, payment preparation and general administrative work
∎ Finance:
∎ Maintain petty cash of the project. This includes monitoring advances and adjustments periodically, especially monthly of both the head office and other projects
∎ Maintain a continuous awareness of the account balances
∎ Review vouchers and other financial documents related to expenditures at the project office level
∎ Maintain a record of all the expenses made in the project and support FAO to prepare monthly expense reports
∎ Supervision of payments and accounting adjustments as required by the project
∎ Provide support regarding payment calculations to office and project staff
∎ Participate in internal and external audits as required by the project
∎ Administration:
∎ Support project logistic functions as and when necessary such as venue booking
∎ Support procurement process for preferred vendors, venue booking and relevant materials
∎ Maintain stock of office supplies
∎ Human Resources:
∎ Process overtime payment for driver and office assistant
∎ Provide support to the recruitment process through collection, cross-checking and consolidation of relevant information
∎ Coordination and Support:
∎ Harmonize approach with F&A-O in the program through best practice sharing and feedback loops
∎ Continuously engage with Dhaka level finance and administrative staff to ensure strong feedback loops around challenges, resolutions and best practices
∎ Other Responsibilities:
∎ Actively learn and develop skills related to online platforms used by iDE including but not limited to: Google Drive, Google Docs, Google Sheets
∎ Maintain use of online platforms for sharing reports, documents and data
∎ Represent iDE at external events and meetings as agreed with supervisor
∎ Participate in all relevant meetings and workshops

Additional Requirements:
∎ Work Experience:
∎ At least 2 years of relevant experience
∎ Strong understanding of financial systems, bookkeeping, accounting and financial management
∎ Proper arrangement, prioritization and strong bank management skills
∎ Excellent official documents management skill
∎ Personal Skills:
∎ High ethical and moral standards;
∎ Good ability to communicate about financial matters
∎ High ethical and moral standards
∎ Excellent interpersonal skills
∎ Ability to work with various national and international team members and flexibility to adapt to different work conditions
∎ Physical and Language Skills:
∎ Ability to travel and undertake fieldwork in rural contexts
∎ Ability to drive motorcycles and having valid driving license
∎ Written and oral communication skills in Bangla and English, including ability to present coherent and convincing messages to different audiences
∎ Strong computer skills in Microsoft Office Suite, e-mail and the internet
∎ Familiarity with internet based software systems such as Google Apps and Salesforce
∎ Other Information and Conditions:
∎ The position would be the regular employment of iDE-B
∎ The remuneration package, work days and deliverables might be change based on negotiation among iDE management and the contract
∎ iDE reserve rights to terminate this agreement any time with the consultation of the employee as per HR policy
