Responsibilities & Context:

We are looking for a proactive and detail-oriented Assistant Manager – Operations to support and oversee day-to-day operational activities across our group of companies. The role involves coordinating with multiple departments, improving operational efficiency, ensuring compliance with company policies, and supporting senior management in achieving business objectives.

Key Responsibilities:

  • Operational Oversight: Assist the Operations Manager in day-to-day activities to ensure smooth business execution.

  • Billing & Verification: Thoroughly verify all bills, invoices, and payment claims to ensure accuracy and prevent overbilling.

  • Quality Assurance (QA): Conduct rigorous quality checks on completed work and services to ensure they meet company standards.

  • Procurement Inspection: Inspect all purchased materials and goods for quality, quantity, and compliance with specifications before acceptance.

  • Financial Monitoring: Monitor Profit & Loss (P&L) statements and track operational expenses to maximize cost-efficiency.

  • Audit & Compliance: Proactively identify irregularities, unauthorized expenses, or any form of operational misconduct.

  • Documentation & Legal: Draft, review, and manage Vendor Agreements, Work Orders, and Service Level Agreements (SLAs).

  • Vendor Management: Communicate with vendors and suppliers to ensure timely delivery and adherence to contract terms.

Required Skills & Qualifications:

  • Experience: Proven experience in operations, Accounts, supply chain, or a similar administrative role.

  • Integrity: High ethical standards and the ability to detect and report discrepancies.

  • Analytical Skills: Strong ability to analyze financial data and operational metrics.

  • Legal/Contractual Knowledge: Basic understanding of drafting work orders and business agreements.

  • Attention to Detail: An "eagle eye" for quality control and billing errors.

  • Communication: Proficiency in English (written and verbal) for professional documentation and negotiation.
