5-7 years of experience in administration, fleet management, or logistics in a reputable organization.
Experience in managing transport staff, including both technical and non-technical personnel.
Experience in vehicle repair and maintenance, including light, medium, and heavy vehicles.
Familiarity with managing budgets and financial records in transport or logistics departments.
Strong communication skills and the ability to coordinate with multiple departments and stakeholders.
Ability to handle crisis situations and make quick decisions.
Experience developing innovative solutions to problems.
Proficiency in managing financial records and preparing detailed reports.
Knowledge of BRTA regulations and vehicle documentation processes.
Willingness to work beyond regular hours, including nights, holidays, and emergencies.
A collaborative mindset, able to work effectively across departments.
Responsibilities & Context: We are looking for a dynamic and self-driven professional for our Transport Section as Assistant Director (Transport Section). A Diploma in Automobile Engineering or a related professional qualification in Logistics Management or Fleet Management.
Responsibilities:
Daily Transport Management:
- Oversee daily transportation services from various approved routes for students, faculty, and officials to the Ashulia campus.
- Maintain communication with bus suppliers, drivers, and helpers to ensure smooth service.
- Address transport-related issues in coordination with university stakeholders, including Deans, Department Chairs, and Program Office officials.
Vehicle Maintenance & Fleet Management:
- Manage the distribution, maintenance, and repair of all university vehicles.
- Ensure preventive and breakdown maintenance is carried out on time.
- Oversee inventory of spare parts, fuel, lubricants, and other vehicle supplies, and ensure timely requisition.
- Regularly verify the condition of all vehicles and prepare maintenance reports.
- Handle third-party rental vehicles, including vehicle hiring negotiations and quotations.
Financial Management:
- Ensure proper utilization of funds allocated to the Transport Section and manage accounts related to vehicle maintenance, fuel consumption, and repairs.
- Prepare and verify bills for third-party vehicle rentals.Oversee procurement for the Transport Section, ensuring proper fund management for all purchases.
Reporting & Record Keeping:
- Prepare monthly and periodical reports on fleet management, including fuel efficiency, overtime (OT) reports, and vehicle registration/renewals.
- Maintain accurate records for all transport-related documents, including Tax Tokens, Fitness Certificates, and BRTA compliance records.
- Report regularly to university authorities about the status of the transport section.
Staff Management:
- Allocate tasks to transport staff, ensuring smooth operations and proper rotation of work assignments.
- Develop staff through training and ensure a safe and secure work environment for the transport team.
Liaison & Compliance:
- Maintain strong relationships with BRTA, local police, and government agencies to ensure legal compliance in transport operations.
- Monitor the renewal of vehicle-related documentation and ensure compliance with BRTA and other regulatory bodies.
Service Improvement:
- Continuously work on route optimization and other initiatives to improve transport services for students, staff, and faculty.
- Implement innovative solutions to prevent or resolve transport-related problems.
- Coordinate vehicle support for university events such as Convocation, Fresher's Reception, etc.
Emergency Response:
- Be prepared to work beyond regular office hours, including weekends and holidays, and respond to emergencies or incidents whenever required.
Other Duties:
- Perform any additional tasks or responsibilities as assigned by university authorities.
