∎ University degree in relevant specialisation and qualification in business administration desirable (equivalent of BBA)
∎ Required Professional Experience and competence
∎ A minimum of 3 years of professional experience in administrative and logistical management or a comparable role in donor-funded projects.
∎ Exceptional problem-solving and troubleshooting skills.
∎ A highly positive and can-do attitude.
∎ Proactive and energetic.
∎ Strong teamwork skills and supportive attitude towards program staff.
∎ Skilled in event planning, organizing, and coordination.
∎ Proficiency in English with high speaking ability.
∎ Proficiency in ITC technologies (software, phone, fax, email, internet) and computer applications (e.g., MS Office, logistics applications).
∎ Comprehensive understanding of management and administration.
∎ Willingness to upgrade skills as required by tasks, with corresponding measures agreed upon with management.
∎ Ability to multitask and work effectively in a culturally and politically sensitive operational context.
∎ Maximum age of 35 years.
Responsibilities & Context:
∎ To ensure administrative and logistical procedures and arrangements are in-line and comply with applicable administrative rules and regulations.
∎ To provide concerned team with efficient and effective administrative and logistics services.
∎ To support coordination of interaction with service providers and other stakeholders related to the events to be implemented.
∎ To support in preparation of budgets, financial documents and reports.
∎ To deliver administrative services to concerned assignment.
∎ To coordinate with internal and external stakeholders on the mode of service delivery and support.
∎ To maintain a document filing system in reference to filing rules and regulations.
∎ To assist in the management of confidential files, specifically in the areas of personnel.
∎ To support organizing and managing events and meetings.· To support the processes of grant administration, including documentation, and filing.
∎ To support in liaison with partner and external stakeholder correspondence, and communication etc. based on requirements.
∎ To ensure the concerned team and supervisors are supported in their daily activities of attending meetings and field trips through effective use of drivers and project vehicles.
∎ To update holidays, sick leave, settlement, advances etc. of staff.
∎ To purchase office equipment and supplies within set value limits.
∎ To procure materials and equipment locally, monitor markets, issue invitations to tender and process orders in accordance with applicable regulations, handle quotations etc.
∎ To enter and maintain data relevant for procurement and tenders.
∎ To establish and maintain a database of all external service providers, for materials, equipment, and services.
∎ To organise availability and distribution of office supplies.
∎ To accept goods and ensure that the receipt is documented and goods received are checked appropriately.
∎ To check goods invoices, goods inwards receipts and other (delivery) papers and payment instruction.
∎ To notify delivery location and time.
∎ To document and file properly completed orders.
∎ To inform on time about the status of procurement, particularly in the event of delays.
∎ To report damage to concerned staff, organise and monitor the service and repair of office equipment.
∎ To support the planning and preparation of events, meetings, workshops, training programmes, and capacity development initiatives etc.
∎ To support in the liaison with suppliers and service providers and stakeholders.
∎ To support concerned staff with the elaboration of documents for events including agendas, invitations etc.
∎ To support with the running of events including tracking invites and responses, and support any and all communication and documentation sharing.
∎ To arrange accommodation, transportation including air ticket for concerned staff.
