∎ • Uttaran is an NGO working in Bangladesh since 1985 to uphold rights and entitlements and to improve the socio-economic condition of the poor and disadvantaged community people. Uttaran is a people-centered organization using a rights-based approach to alleviate poverty, diversify livelihood opportunities and empower poor communities of Bangladesh.
∎ • Uttaran invites applications for the vacant position titled- Admin & Logistics Officer for the " preparedness and response water, support in sanitation and Hygiene to Rohingya Refugees and Host community in Noakhali/Bhashanchar Project" supported by WHH.
∎ • Job Title: Admin & Logistics Officer
∎ • Reports to: Head of Administration
∎ Work station: Bhashanchar, Noakhali
∎ The Admin & Logistics Officer will be overall responsible for managing the base supply for products and services and its effective management including procurement, travel & lodging arrangement, and logistic support for different training/meetings/workshops. The Admin & Logistics Officer will be responsible for supporting the delivery of a timely and appropriate response to the current crisis that builds strong links to the existing programs in Bangladesh. The specific focus areas of responsibility will include: collecting quotations, market surveys, supplier information collection, managing suppliers and communication with different units/departments, and stock management. The Admin & Logistics Officer will also be responsible for supporting different projects for the organization's response team. Ensure that project implementation meets the global/organizational standards of emergency responses and donors' compliance aspects:
∎ Admin & Logistics Officer will be responsible for the following tasks:
∎ • Admin & Logistics Officer is responsible for procurement and supply chain including receiving purchase requests from project staff, getting approval from management, preparing Request for Price Quotation (RFQ) and sending them to vendors, collecting quotes from vendors, arranging Quotation Opening, preparing Opening and Analyzing meeting minutes, and comparative statement (CS), preparing purchase order (PO) and sending to the selected vendor after getting the approval from management, following up with vendors for delivering the materials within the deadline, receiving materials with Challan, preparing Good Receive Note (GRN), and submit to finance for payment with all necessary signatures.
∎ • Collect supplier profiles with maintain a log for vendor enrolment.
∎ • Stock-keeping of all materials and supplies in the Bhasan Char project, including receiving goods, managing goods in transit, arranging delivery of materials, and maintaining stock and stock registers as necessary.
∎ • Daily store register maintained according to store requisition and materials dispatch, sharing with supervisor bi-weekly.
∎ • Receive and record Purchase Request forms.
∎ • Monitor and track all inventory and maintain the Inventory Report.
∎ • Update and manage the procurement tracker and share it with relevant staff.
∎ • Update and manage the Assets data at the Bhasan Char level and share with the donor and Uttaran’s head office.
∎ • Update and manage the Contract tracker and share it with Operation.
∎ • Support in archiving of procurement, admin, inventory, and assets documentation in accordance with organizational guidelines; maintain proper filing system.
∎ • Flexible to travel frequently to Uttaran’s Head Office at Tala, Satkhira, and Cox’s Bazar Donor office from Bhasan Char field office with official documents.
∎ • Arrange travel and logistics for staff and visitors including hotel and flight bookings, airport pick-up, and maintaining the flight tracker if necessary.
∎ • Manage vehicle movements for the Bhasan Char office by planning and assigning the drivers as per the vehicle requests for the team in Bhasan Char.
∎ • Manage accommodation facilities of staff and visitors.
∎ • Maintaining staff attendance and leave register forms.
∎ • Preparing volunteers, labor attendance sheet, and payment sheet monthly.
∎ • Archiving all master rolls of distribution, training, meetings, etc. documents.
∎ • Perform any other duties assigned by the Supervisor.

Compensation & Other Benefits:
∎ Salary: 50,000 BDT (12 month salary package)
