The Visa Executive is a critical, detail-oriented specialist responsible for managing the final and most complex stage of the student journey: the visa application process. This role demands meticulous attention to detail and a comprehensive, up-to-date knowledge of the immigration laws and visa regulations for target study destinations (e.g., UK, Canada, Australia, USA). The executive handles all legal documentation, ensures compliance, and manages the submission and tracking of visa files to maximize approval rates and maintain the firm’s ethical standards.
Job Responsibilities
1. Visa Application and Submission Management
Documentation Oversight: Take ownership of the complete visa file for approved students, meticulously collecting, organizing, and verifying all required legal and financial documents, including Confirmation of Acceptance for Studies (CAS), financial proofs, and medical clearances.
Application Preparation: Accurately complete and prepare all visa application forms (online and physical) according to the specific requirements of the high commission or embassy for the target country.
File Submission: Manage the scheduling of visa appointments, payment of visa fees, and the physical/digital submission of the student`s application file.
Interview Preparation: Conduct detailed mock visa interviews and briefing sessions with students to prepare them for potential embassy interviews, covering questions on intent, finances, and course knowledge.
2. Legal Compliance and Expertise
Regulatory Knowledge: Maintain expert, current knowledge of all student visa subclasses, policies, legislative changes, and mandatory requirements (e.g., proof of funds duration, visa conditions) for the firm’s core destinations.
Risk Mitigation: Scrutinize documents for potential discrepancies or red flags that could lead to a visa refusal and advise students on necessary corrective actions, ensuring ethical and truthful representation at all times.
Post-Submission Tracking: Proactively track the status of all submitted visa applications and manage all communication with students regarding updates, requests for further information, or the final decision.
3. Record-Keeping and Reporting
Case Management: Maintain a rigorous, confidential digital and physical filing system for all visa cases, including submission records, approval notices, and refusal documentation.
Performance Reporting: Generate accurate weekly and monthly reports on visa submission volume, approval rates, and common reasons for refusal to management for strategic review.
Liaison: Act as the primary point of contact for external partners, such as immigration lawyers or third-party service providers, regarding specific student cases and documentation requirements.
