∎ Position profile:
∎ We are looking for someone with substantial management and leadership experience to run the day-to-day activities at the centre including appointment scheduling and client management; daily finance management; administrative staff and hospital facility maintenance; documentation and record maintenance; and overseeing clinical practice management.
∎ Duration of contract : 1 year, renewable based on performance
∎ Start date : As soon as possible
Job Responsibilities:
∎ Oversee client flow to ensure that clients and patients are seen and treated in a professional, timely and competent manner; review and resolve of non-medical client complaints.
∎ Schedule appointments; ensure call back system including overdue reminder calls and client follow ups in collaboration with the Practitioners.
∎ Manage billing, calculation of any discounts and other special accounts, collections and returned payments and checks.
∎ Develops and updates the employee handbook, written job descriptions, employee personnel files, time sheet, leave records and annual leave calendar.
∎ Supervise staff to ensure that each job is being effectively handled and timely executed.
∎ Ensure policy enforcement, employee relations and communications.
∎ Monitor employee competence and effectiveness and report to Practice owners.
∎ Manage the practice software, daily transactions and handle main reception till.
∎ Develop and maintain daily ledger for all transactions and maintain daily financial reporting to the practice owners.
∎ Prepare budgets and monthly requisitions for all expenses and purchases.
∎ Establishes an inventory control system to ensure adequate stocks of supplies are available; Monthly update inventory to prepare medical supplies purchase list in collaboration of practitioners.
∎ Oversee the maintenance of the facility for orderliness and cleanliness of both the inside and outside of the building.
∎ Order and supervise storage of medical and non-medical supplies; Manage vendors for supply purchases and negotiate best prices.
∎ Promotes different offers, promotions, upcoming activities internally to increase client/patient visitation rate.
∎ Oversee that all records are kept up to date. This includes client records and invoices with correct names, addresses, pets, charges, medical history, vaccine status, medications administered, laboratory reports, etc.
∎ Performs other duties as assigned.
Additional Requirements:
∎ Skills and experiences:
∎ Demonstrated love and affection for animal and animal welfare.
∎ At Least three years' experience of working in an administrative position. Experience of working in a hospital/clinic facility will be an additional benefit.
∎ Proven leadership skills and experience of client management.
∎ Excellent interpersonal and communication skills.
∎ Fluent proficiency in both Bangla and English language.
∎ Computer skills with basic softwares and data management.
∎ Ability to work under pressure with minimal supervision; think and work strategically with attention to detail.
∎ Languages: Strong communication skills in both Bangla and English.
