Responsibilities & Context:

Key Responsibilities

  • Serve as the primary point of contact for clients throughout the project lifecycle.

  • Proactive and energetic in generating leads and building client relationships.

  • Understand client objectives, requirements, and brand guidelines, and translate them into actionable event plans.

  • Develop and present proposals, event concepts, budgets, and timelines.

  • Manage client expectations, provide regular updates, and ensure high levels of satisfaction.

  • Build and maintain strong, long-term client relationships leading to repeat business.

  • Lead end-to-end operations for events including planning, logistics, vendor management, and onsite execution.

  • Prepare detailed event flow, production schedules, and operational checklists.

  • Coordinate with design, creative, production, logistics, and technical teams for flawless execution.

  • Ensure adherence to budgets, timelines, and quality standards.

  • Conduct site visits, technical assessments, and pre-event checks.

  • Manage setup, rehearsals, event-day operations, and post-event wrap-up.

  • Identify, negotiate, and manage vendors such as banners, caterers, decorators, and manpower agencies.

  • Supervise internal teams including executives and coordinators to ensure tasks are completed effectively.

  • Allocate resources and manpower to meet project requirements.

  • Ensure vendors and team members adhere to safety, compliance, and company standards.

  • Prepare and manage event budgets, quotations, and cost sheets.

  • Track expenses and ensure events are executed within approved budgets.

  • Support billing, invoicing, and documentation processes.

  • Maintain accurate project files, reports, and post-event evaluations.

  • Proactively suggest innovative ideas, event formats, and experiential solutions.

  • Monitor industry trends to enhance event quality and client offerings.

  • Identify process improvements to increase operational efficiency.
