Role Overview

The Receptionist is the first point of contact for patients, visitors, and guests at Apon Diagnostic Center (ADC). This role is responsible for providing excellent customer service, managing patient inquiries, handling appointment scheduling, and ensuring smooth front desk operations.

 

Key Responsibilities

  • Greet patients, visitors, and vendors in a professional and courteous manner.

  • Answer and route phone calls, emails, and inquiries promptly.

  • Register new patients and update existing patient records in the hospital management system.

  • Schedule, confirm, and manage patient appointments for consultations, diagnostics, and follow-ups.

  • Collect and verify patient information, insurance details, and required documentation.

  • Provide information on hospital services, diagnostic tests, fees, and procedures.

  • Manage billing, payments, and receipts at the front desk.

  • Coordinate with doctors, nurses, lab technicians, and other staff for smooth patient flow.

  • Maintain cleanliness, organization, and confidentiality at the reception area.

  • Handle patient complaints and escalate concerns to the appropriate department.

  • Assist with administrative tasks such as filing, scanning, and report preparation.

 

Qualifications & Skills

  • Education: Bachelor degree in any discipline is preferred.

  • Experience: 4-5 years in a hospital, diagnostic center, or customer-facing role preferred.

  • Technical Skills: Proficiency in MS Office, hospital/clinic management software, and telephone systems.

  • Soft Skills:

    • Strong communication and interpersonal skills.

    • Ability to remain calm and professional under pressure.

    • Excellent organizational and multitasking abilities.

    • Customer service orientation with a caring and empathetic approach.

    • Attention to detail and confidentiality.

 

Working Conditions

  • Front desk environment with continuous interaction with patients and visitors.

  • May require working in shifts, weekends, and holidays based on hospital operations.

  • Exposure to a fast-paced healthcare setting.
