Responsibilities & Context:
  1. Pharmacy Operations

    • Supervise and ensure smooth day-to-day operation of the hospital pharmacies.

    • Ensure medicines are dispensed accurately and strictly against valid prescriptions.

    • Maintain proper control over prescription and non-prescription medicines in accordance with hospital policy and applicable regulations.

    • Ensure timely availability of essential medicines for OPD, IPD, ICU, NICU, Emergency and OT requirements.

  2. Inventory & Stock Management

    • Monitor medicine stock levels and ensure timely replenishment of fast-moving and essential medicines.

    • Maintain accurate records of stock receipts, issues, transfers, returns and adjustments.

    • Monitor batch numbers, expiry dates and storage conditions.

    • Implement FEFO (First Expiry, First Out) to minimize expiry-related losses.

    • Conduct regular physical stock verification and reconcile discrepancies with system records.

  3. Procurement & Supplier Coordination

    • Prepare purchase requisitions based on consumption, minimum stock levels and projected requirements.

    • Coordinate with the Purchase/Procurement team regarding medicine orders and deliveries.

    • Verify received medicines against purchase orders, invoices and delivery documents.

    • Coordinate with authorized suppliers and report quality, quantity or delivery-related issues.

  4. Medicine Safety & Quality Control

    • Ensure medicines are stored according to prescribed temperature, light, humidity and other storage requirements.

    • Maintain proper segregation and control of high-alert, emergency, refrigerated and other special-category medicines.

    • Immediately report expired, damaged, recalled or questionable medicines and ensure proper segregation and disposal as per policy.

    • Ensure proper documentation and control of medicines with special regulatory requirements.

  5. Billing & System Management

    • Ensure all pharmacy sales/issues are properly entered into the hospital pharmacy/ERP system.

    • Monitor billing accuracy and prevent unauthorized or undocumented medicine issues.

    • Coordinate with Accounts, Billing and other relevant departments regarding pharmacy-related financial and system issues.

    • Review pharmacy reports relating to sales, consumption, stock and expiry.

  6. Staff Supervision

    • Supervise Pharmacists, Pharmacy Assistants and other pharmacy personnel.

    • Prepare/monitor duty rosters and ensure adequate staffing during all operating hours.

    • Allocate duties, monitor performance and provide necessary guidance and training.

    • Ensure staff follow hospital policies, professional standards and pharmacy procedures.

  7. Patient & Clinical Support

    • Ensure timely and accurate dispensing of medicines to patients.

    • Coordinate with doctors, nurses and clinical departments regarding medicine availability and appropriate dispensing requirements.

    • Address pharmacy-related queries and complaints professionally and promptly.

    • Maintain confidentiality of patient and prescription information.

  8. Compliance & Documentation

    • Ensure pharmacy operations comply with applicable laws, regulations, licensing requirements and hospital policies.

    • Maintain all required registers, records, licenses, reports and supporting documents.

    • Cooperate with internal/external audits, inspections and regulatory reviews.

    • Ensure proper documentation of medicine wastage, returns, shortages and discrepancies.

  9. Cost Control & Loss Prevention

    • Monitor medicine wastage, expiry and stock losses and take corrective measures.

    • Identify opportunities for reducing unnecessary inventory and improving cost efficiency.

    • Investigate and report stock discrepancies, unusual consumption or suspected misuse to management.

  10. Reporting

  • Prepare and submit regular reports on pharmacy sales, stock position, consumption, expiry, wastage and other key pharmacy activities.

  • Inform management promptly about critical medicine shortages, operational issues, compliance concerns or significant discrepancies.

  • Recommend improvements in pharmacy operations, inventory control and service quality.
