Responsibilities & Context:
  • Oversee day-to-day administrative operations of the organization.

  • Assist in proper management of office infrastructure, utilities, equipment, and supplies.

  • Monitor housekeeping activities, cleanliness, and workplace safety.

  • Maintain updated records of office assets, inventories, and materials.

  • Support to control inventory movement and stock levels to ensure adequate supply without overstocking.

  • Work with the concerned department and medical teams to align stock availability with operational needs.

  • Supervise regular and corrective maintenance activities for all office facilities and equipment.

  • Coordinate with technicians, vendors, and service providers to ensure timely repairs.

  • Maintain maintenance logs, service records, and compliance documents.

  • Assist line manager to ensure workplace safety, fire safety equipment checks, and emergency preparedness.

  • Assist in procurement of goods, services, and materials as per organizational policies.

  • Prepare RFQs, collect quotations, evaluate vendors, and ensure cost-effective purchasing.

  • Maintain vendor lists, contracts, purchase trackers, and payment follow-ups.

  • Ensure timely delivery of goods and services with proper quality checking.

  • Prepare Purchase Orders (PO), GRN, comparative statements, and procurement documentation.

  • Assist to ensure all procurement and maintenance activities follow company policies and audit requirements.

  • Prepare monthly reports on admin operations, maintenance status, procurement updates etc.
