I & I Services Ltd.:

I & I Services Ltd. operates as a pharmaceutical distribution unit with multiple depots located across different regions. The company is responsible for delivering medicines to various customers or healthcare facilities and collecting the corresponding payments upon delivery. Their operations involve managing inventory at each depot, ensuring timely and accurate distribution, and maintaining efficient cash collection processes to support smooth business operations.

Job Summary:

This role involves comprehensive responsibility for managing operational activities related to supply chain systems, regulatory pricing approvals, VAT compliance, stock and expiry management, internal IT coordination, and customer service support. It plays a critical role in ensuring full compliance with national regulatory authorities, such as the DGDA and NBR. It supports internal teams and external stakeholders with timely, accurate data and issue resolution.

Key Responsibilities:

1. Oracle System & Product Management:

  • Ensure accurate daily Oracle system entries for product receipts.
  • Handle item assignments for new product launches.
  • Coordinate for system integration and updates related to product and stock entries.

2. Coordination with the MIS Department:

  • Troubleshoot and resolve software, PC, and network-related issues.
  • Facilitate new PC setup and connection across departments.
  • Manage user creation, email ID activation, and deactivation as needed.

3. Pricing & Regulatory Compliance:

  • Collect product price approvals from the Directorate General of Drug Administration (DGDA) and the National Board of Revenue (NBR).
  • Ensure all product pricing is approved and compliant with current regulatory requirements.

4. Distribution & VAT Compliance:

  • Supervise daily product issuance and delivery challan preparation.
  • Monitor and guide institutional supply processes to ensure VAT compliance as per relevant laws and regulations.
  • Provide interpretation and support on VAT Acts and regulatory rules to internal stakeholders.

5. VAT Accounting & Reporting:

  • Maintain accurate VAT accounting records for sales, returns, exports, and imports.
  • Issue VAT Challan and handle Credit Notes related to sales returns.
  • Record and process production return transactions in compliance with VAT laws.
  • Prepare reports and contribute to submitting monthly VAT returns with the Factory.
  • Prepare disposal letters for submission to NBR.
  • Manage and document stock write-offs and write-ins as per regulatory guidelines.

6. Stock Adjustment & Expiry Management (Nationwide):

  • Lead nationwide stock adjustment processes and generate related reports.
  • Oversee and report on expiry-related issues, including documentation, reconciliation, and regulatory compliance.

7. Refurbish and Repack Activities Supervision:

  • Supervise operations at the central repack warehouse.
  • Reconcile repack letters and manage repacking activities efficiently.
  • Collect rejection letters, prepare adjustment memos, and carry out stock adjustments upon management approval.

8. Customer Service & Institutional Support:

  • Handle complaints from government and NGO institutions, ensuring timely resolution.
  • Provide legal and regulatory information, documentation, and advisory support.
  • Address VAT calculation issues raised by chemists nationwide.

9. Audit & Documentation:

  • Act as a departmental representative during surprise audits, periodic audits, annual audits, and NBR audits.
  • Prepare and organize relevant audit documentation and ensure timely submission to the authorities.

Skills & Competencies:

  • Advanced knowledge of Oracle systems and MIS coordination.
  • Strong understanding of VAT laws, compliance procedures, and regulatory documentation.
  • Excellent coordination and troubleshooting skills in both IT and operational environments.
  • Strong customer service orientation and problem-solving abilities.
  • Thorough experience in audit handling and documentation management.
