As part of this expansion, we are inviting applications from dynamic and capable professionals for the position of Office Representative for one of its concerns, Bay Icon International Hotel & Resort Ltd.:
Responsibilities:
Greet and welcome visitors, clients, and guests professionally.
Maintain visitor records and issue visitor passes where applicable.
Guide visitors to the appropriate department or personnel.
Ensure the reception area remains clean, organized, and presentable.
Take and relay messages accurately and promptly.
Handle inquiries from clients and stakeholders courteously.
Manage communication with customers at front desk.
Maintain office records, files, and documents.
Receive, sort, and distribute incoming mail, courier, and parcels.
Coordinate meetings and maintain appointment schedules.
Maintain attendance records of visitors and meeting participants.
Keep updated contact lists and office directories.
Prepare daily, weekly, or monthly reports as required by management.
Respond to customer inquiries and provide necessary information.
Handle complaints professionally and direct them to the concerned department.
Maintain positive relationships with clients and stakeholders.
Perform any other tasks assigned by management from time to time in the interest of the organization.
