- Basic accounting and finance management skills.
- Computer literacy (MS Office, Excel, clinic management software).
- Ability to handle stressful situations (emergency cases, client complaints).
- Team coordination with vets, nurses, and support staff.
Responsibilities & Context:
Client Management:
- Handle client queries, complaints, and special requests with empathy.
- Ensure pet owners understand available services, treatment packages, and memberships.
- Provide guidance to clients on billing, pharmacy purchases, and follow-up visits.
- Build long-term relationships with clients to increase retention and trust.
Financial Management:
- Supervise billing, payments, and receipts at reception.
- Maintain daily cash register and submit reports to the Accounts Officer / MD.
- Monitor outstanding payments and ensure timely collection.
- Assist in preparing monthly financial reports for management.
Coordination with Clinical Staff:
- Communicate client needs (appointments, emergencies, inpatient updates) to vets.
- Ensure smooth coordination between doctors, lab, pharmacy, and clients.
- Assist in managing client flow during emergencies and peak hours.
Record Keeping & Reporting:
- Maintain accurate records of appointments, income, and client feedback.
- Prepare daily/weekly/monthly reports on clinic performance.
- Suggest improvements to enhance client satisfaction and financial efficiency.
