Reports To: Director / Head of Sales
Role Purpose:
The Sales Administration Manager will be responsible for end-to-end control of sales operations, reporting, and governance, ensuring discipline, transparency, and coordination between Sales, Accounts, Production, and Distribution.
This role plays a critical control and MIS function—monitoring sales force performance, dealer compliance, pricing discipline, and sales data accuracy—while enabling the Sales team to perform efficiently.
Key Responsibilities:
1. Sales Operations Control
• Oversee all sales administration processes including order processing, pricing approvals, and documentation
• Ensure proper implementation of sales policies, SOPs, and approval hierarchies
• Act as the central coordination point between Sales, Accounts, Production, and Distribution
2. Sales Team Monitoring & Governance
• Monitor performance of Sales Executives and Area Sales Managers through:
• Target vs achievement
• Territory coverage
• Dealer activity and productivity
• Review Daily Activity Reports (DAR), visit reports, and sales pipelines
• Identify underperformance, non-compliance, and sales irregularities and escalate to management
3. Dealer, Pricing & Credit Discipline
• Ensure strict adherence to approved:
• Pricing structures
• Discount policies
• Credit limits and payment terms
• Coordinate with Accounts to track receivables and overdue balances
• Flag high-risk dealers, excessive discounting, and credit misuse
4. Sales MIS & Performance Analytics
• Develop and control sales MIS covering:
• Salesman-wise, region-wise, and product-wise performance
• Dealer contribution and growth trends
• Monthly and YTD sales analysis
• Present actionable insights and dashboards to top management
• Support KPI tracking, incentive calculation, and performance appraisals
5. Process Improvement & Digitization
• Improve sales administration systems and reporting efficiency
• Work closely with IT/MIS to enhance ERP, CRM, and automation tools
• Introduce data-driven decision-making culture within Sales
6. Team Leadership & Capacity Building
• Lead and develop the Sales Administration team
• Assign roles, set KPIs, and ensure accountability
• Train Sales Admin officers on reporting discipline and data accuracy
