Job Context:

∎ Reports to: Head of Humanitarian Response
∎ Nature of Job: Full time
∎ Level: Mid-level position
∎ Duration: 6 months with the possibility of extension
∎ The logistics officer carries out the purchase, stock management and office maintenance. He or she is the responsible for the implementing and respecting ICCO Cooperation procurement procedure and filling all the procurement, stock and admin related documents.
∎ Key contacts:Head of Humanitarian Response, Head of HR & Admin, Head of Finance, Sr. HR and Procurement officer and Finance officer
∎ Working Conditions:
∎ Working days from Sunday to Thursday 40 hours per week. This position may be required to work some overtime hours.
∎ Any other tasks assigned by the supervisor from time to time.
∎ Yearly renewable contract based on fund availability and performance.

Job Responsibilities:
∎ Responsibility # 1: Procurement:
∎ Support to process of the project procurement
∎ Process the purchase request
∎ Check the PR for specification and allocated budget appropriately
∎ Before process any procurement check and confirm appropriate authority duly approved the requisition
∎ The procurement process should be in line with the ICCO procurement guideline.
∎ Imitate the procurement process
∎ Prepare RFQ according to project needs
∎ Communicate with vendor for collecting quotation
∎ Responsible to verify goods quality
∎ Prepare procurement related contract/ work order
∎ Conduct pre Bid meeting when necessary
∎ Collect and compile all the procurement related proposal and evaluate all the proposal
∎ Responsible for vendor enlistment
∎ Responsibility # 2: Stock management:
∎ The logistic officer responsible for stock management
∎ Received goods according to RFQ
∎ Before stock goods quality should be checked
∎ Cary out month stock inventory
∎ Maintain stock register and prepare daily stock in ad out for the filed office
∎ Responsibility # 3: Administrative task:
∎ Follow and maintain the premises items and consumable
∎ Ensure effective office operation and procedures compliances with ICCO and donor's rules & regulation.
∎ Responsible for Procurement file update & prepare vendor contract
∎ Prepare Financial Budget for procurement
∎ Ensure necessary logistic support to organize meeting/workshop, training, event, etc.
∎ Coordinate and support field office financial and administrative issues.
∎ Provide travel support and coordination, including air tickets bookings and visa applications,
∎ Responsible for any other task assigned by supervisor
∎ Responsibilities may vary according to project priorities

Additional Requirements:
∎ At least 2 years' experience in the field
∎ Computer literacy with MS word, MS Excel and supply chain management software
∎ Ability to communicate in English fluently in all form of communication
∎ Ability to cope up and mix up with multicultural people
∎ Ability to cope up with multy task
