Educational Requirements:
∎ Either BBA major in Finance, or Bachelor’s degree in Accounting/ Finance, or Related subject.
Job Responsibilities:
∎ Prepare and update the recruitment file with job description, requisition, advertisement, reference check and final selection documents.
∎ Phone call to candidate, email for interview invitation and rejection letter.
∎ Prepare the new staff personnel file immediately after on boarding.
∎ Follow-up with supervisor and subordinate to ensure all staff performance appraisal.
∎ Update personnel file with contract extension, increment and promotion letters.
∎ Maintain the separated staff file with exit documents i.e., clearance form and certificate.
∎ Keep the records of new staff orientation, training, and workshops.
∎ Update the Insurance company about staff inclusion and exclusion information.
∎ Provide logistic support to HR department, such as photocopy, scanning, printing, etc.
∎ Create, update, and maintain staff profile immediately after on/off boarding.
∎ Creating ID and password for new staff just after onboarding.
∎ Assist the staff to unlock or reset the password as per request.
∎ Follow-up with staff for updating their personal information and documents.
∎ Assist staff for registering their attendance, leave and timesheet correctly.
∎ Follow up with staff to complete the time sheet within the deadline of each month.
∎ Assist the staff to upload information and documents related to appraisal.
∎ Update holiday list once in year and CTO leave balance as per the request.
∎ Update staff movement and salary information before monthly payroll preparation.
∎ Maintains payroll information in HRM System by collecting, calculating, and entering the data of income tax deduction, overtime, bonuses, and allowances as per the regulations.
∎ Updates payroll records by entering all the necessary information including any changes into the system i.e., PF & GF loan deductions and without pay leave.
∎ Assist to prepare the staff payroll and reconciliation sheet of each month using HRM System.
∎ Distribute payment statements and gather signed receipts (digital or paper)
∎ Enter new staff data (e.g. bank accounts and tax identification numbers) into internal databases
∎ Assist to resolves payroll discrepancies by collecting and analyzing information.
∎ Ensure that the employees payroll files are up to date and accurate.
∎ Answer questions about compensation, benefits, taxes and insurance deductions.
Additional Requirements:
∎ Age at least 35 years
∎ At least 2 to 3 years of experience to prepare payroll at any NGO in Bangladesh, whereas Helevtas work experience will add value.
∎ Strong working knowledge of local regulations and policies related to payroll.
∎ Ability to prioritize multiple tasks while meeting deadlines timely and accurately.
∎ Strong verbal and written skills, to connect clients and align with various stakeholders.
∎ Strong interpersonal skills, explaining complex issues at an understandable level.
∎ Advanced knowledge of local payroll software solutions.
∎ Intermediate knowledge of Microsoft Excel.
∎ ITP certification will add value.
