Key Responsibilities & Context

  1. Overall Financial Management

    • Manage and supervise all accounting and finance activities of the company.

    • Develop and implement financial policies, procedures, and internal controls.

    • Ensure proper utilization and control of company funds.

  2. Freight & Shipment Accounting

    • Monitor revenue, expenses, and profitability of import, export, freight forwarding, customs clearance, and logistics operations.

    • Ensure correct billing of freight, handling, documentation, CFS, transportation, and other service charges.

    • Monitor customer outstanding balances and ensure timely collection.

  3. Accounts Receivable & Payable

    • Supervise customer receivables and vendor/supplier payables.

    • Ensure timely settlement of shipping lines, airlines, transporters, port operators, customs-related expenses, and other service providers.

    • Follow up on overdue customer accounts and maintain proper aging reports.

  4. Cash Flow & Treasury Management

    • Prepare and monitor daily, weekly, and monthly cash-flow requirements.

    • Manage bank accounts, fund transfers, deposits, and payments.

    • Ensure sufficient liquidity for operational and statutory payments.

  5. Financial Reporting

    • Prepare monthly, quarterly, and annual financial statements and management reports.

    • Provide management with reports on revenue, expenses, profitability, receivables, payables, cash flow, and financial performance.

    • Analyze financial results and recommend corrective actions.

  6. Budgeting & Cost Control

    • Prepare annual budgets and financial forecasts.

    • Monitor actual expenses against approved budgets.

    • Identify unnecessary costs and implement cost-control measures.

  7. Tax & Statutory Compliance

    • Ensure compliance with applicable VAT, tax, withholding tax, customs-related financial requirements, and other statutory obligations.

    • Coordinate with tax consultants, auditors, banks, and government authorities when required.

    • Ensure timely submission of returns, payments, and supporting documents.

  8. Audit & Internal Control

    • Coordinate internal and external audits.

    • Ensure proper maintenance of vouchers, invoices, receipts, bank records, and supporting documents.

    • Identify financial risks, irregularities, and control weaknesses and take corrective measures.

  9. Payroll & Employee Benefits

    • Supervise monthly payroll preparation and salary disbursement.

    • Ensure proper accounting of bonuses, incentives, provident fund, loans, advances, leave encashment, and other employee benefits.

  10. Management Support & Decision-Making

  • Provide financial analysis and advice to the Managing Director/Board/Management.

  • Evaluate the financial impact of new business opportunities, customer credit terms, vendor agreements, and major expenditures.

  • Support management in strategic business and investment decisions.

  1. Team Management

  • Lead, supervise, and evaluate the Accounts & Finance team.

  • Allocate responsibilities and ensure timely completion of accounting activities.

  • Train employees and improve departmental efficiency.

  1. Financial Risk Management

  • Monitor customer credit risk, foreign currency exposure, cash-flow risks, and financial fraud risks.

  • Establish appropriate credit limits and payment terms for customers.

  • Ensure proper authorization for all financial transactions.

  1. System & Process Improvement

  • Ensure accurate and timely accounting through ERP/accounting software.

  • Improve financial processes, reporting systems, and documentation.

  • Ensure proper reconciliation of customer, vendor, bank, and operational accounts.
