As the first point of contact, this role is crucial for creating a positive first impression and ensuring a smooth and efficient patient experience. The ideal candidate is organized, customer-focused, and capable of handling multiple administrative tasks with a positive and professional attitude.

 

Job Summary

The Front Office Executive manages the front desk and reception area, serving as the main liaison between patients, visitors, and medical staff. They are responsible for a wide range of administrative and clerical duties to ensure the seamless flow of daily operations. This includes scheduling appointments, managing patient information, and handling communications in a fast-paced healthcare environment.

 

Key Responsibilities

  • Patient and visitor reception: Greet and welcome all patients, visitors, and guests with a friendly and professional demeanor. Manage patient check-in and check-out processes.

  • Appointment scheduling: Manage the appointment calendar, schedule and confirm patient appointments, and ensure efficient resource utilization.

  • Communication management: Answer and direct all incoming phone calls promptly and professionally, and route them to the appropriate department or staff member. Respond to patient inquiries in person, over the phone, and via email.

  • Patient registration and record management: Register new patients, collect and verify patient demographic and insurance information, and update electronic medical records (EMR) as needed.

  • Billing and payments: Collect co-payments, outstanding balances, and other payments from patients. Assist with insurance verification and billing inquiries.

  • Administrative support: Perform general clerical duties such as filing, scanning, photocopying, and handling incoming and outgoing mail.

  • Maintain reception area: Ensure the reception area and waiting room are clean, organized, and welcoming for all patients and visitors.

  • Adherence to policy: Strictly adhere to all hospital rules, including infection control protocols and patient confidentiality (HIPAA) regulations.

 

Qualifications and Skills

  • Education: A bachelor's degree in any discipline is preferred, but HSC or equivalent may be sufficient with relevant experience.

  • Experience: Previous experience in a front desk, reception, or administrative role, preferably within a healthcare or diagnostic setting, is required.

  • Key Skills:

    • Communication and Interpersonal: Excellent verbal and written communication skills with a friendly and empathetic attitude.

    • Organizational and Time Management: Strong organizational skills and the ability to multitask effectively and prioritize tasks in a busy, fast-paced environment.

    • Technical: Proficiency with computer software, including MS Office Suite and medical office software (e.g., EMR, scheduling programs).

    • Attention to Detail: Meticulous attention to detail to ensure accuracy in patient records and billing.

    • Customer Service: A passion for providing exceptional customer service and a calm, professional demeanor.

    • Problem-Solving: The ability to handle difficult situations and resolve patient issues courteously and effectively.
