Responsibilities & Context:
∎ The Finance and Accounts Officer (F&AO) is responsible for ensuring efficient and effective financial support to the supervisor to ensure implement the projects and program timely and professional payment to staff and suppliers and accurate and transparent financial records following all organizational policies and legal requirements.Financial Management:
∎ Ensure strict adherence to the approved budgets. Ensure vendors are paid within the stipulated time. Review budget for procurement requests based on budget availability. Ensure assets purchased through donor funds are properly utilized and safe guarded. Prepare & update monthly salary sheet at regular intervals. Prepare vouchers and cheques for the release of funds and procure logistics as approved. Maintain advance & supply register. Ensure compliance with accounting and tax laws. Receive financial statements monthly for all organization’s accounts from the bank(s) and reconcile all deposits and withdrawals. Keep inventory of organizational property and update the inventory book yearly. Ensure all financial report documentation. To ensure financial & programmatic support report. To ensure the financial issue to implement the Program activity. Maintain and review financial records. To check & ensure all expenditure cost is in budget line. Monitoring & update the PF/WF etc. at regular interval. Managing bank accounts and record keeping all information of the program staff. Work closely with the auditor by assembling and providing all necessary financial documents and information for auditing. To assist any internal & external audit functions. Previous experience with implementing UNICEF funded project is preferable.Monitoring and Compliance:
∎ Monitor project expenses against the approved budget. Reconcile timesheets with payroll for the project staff under grants. Ensure donor regulations are adhered to for the assigned projects. To keep accountability of organization assets.Reporting:
∎ Prepare monthly, quarterly and yearly project financial reports to the finance manager and management. The Finance & AO shall report directly to the finance manager and management. Coordination and collaboration:
∎ Properly crosscheck monthly salary sheet by coordination with program person. To maintain better coordination with other colleagues & seniors. To maintain better coordination with the donor parties. To maintain better & effective coordination with the bank.Administration:
∎ Ensure smooth and efficient running of the office facilities. Attend program technical meetings and give feedback and updates on financial aspect of the assigned grants. Ensure good storage of financial reports and records in line with the WVI and donor requirements. Ensure all copies of final signed agreements documents between donors and WVI is available on file. Perform any other duties as requested by the supervisor. Provide any support as requested by program person. Professional & Personal Development:
