Skills Required:

Additional Requirements:
  • Minimum 3 to 5 years of experience in administration, facilities management or office operations in group of company. Training in fire safety, first-aid and emergency evacuation procedures is highly preferred.

  • Strong organizational, multitasking, and coordination skills.

  • Proficiency in MS Office and familiarity with office management systems or tools.

  • Proven experience in managing daily office operations, vendor coordination and administrative services.

  • Experience in supervising support staff or coordinating with service providers.

  • Practical knowledge of workplace safety protocols and emergency preparedness.

  • Problem-solving mindset with the ability to handle emergencies calmly and effectively.

  • Ability to monitor service agreements and support cost-effective operations.

  • Excellent communication skill in speaking, writing & email in both English & Bangla.



Responsibilities & Context:

The Executive / Senior Executive – Administration will be responsible for ensuring smooth daily office operations by managing facilities, administrative resources, transportation, workplace safety, and employee support services. The role requires excellent organizational skills, operational understanding, and the ability to supervise administrative staff while ensuring a safe, efficient and welcoming workplace environment.

 

Key Responsibilities

Office Operations & Facility Management

  • Manage daily office operations, ensuring a clean, safe and fully functional workplace.

  • Oversee the secure daily opening and closing of the office in full compliance with company policy and safety protocols.

  • Coordinate with vendors and building management for maintenance, housekeeping and supplies.

  • Ensure availability of office supplies, utilities and administrative resources to support business needs.

Administrative Support & Coordination

  • Provide administrative support for meetings, events, and departmental needs.

  • Schedule and manage conference rooms, boardrooms and meeting facilities.

  • Support inter-departmental communications and act as a point of contact for administrative queries.

Workplace Safety & Security Coordination

  • Assist in implementing safety protocols, conducting drills, and maintaining first-aid readiness.

  • Support routine safety checks and coordinate with security personnel.

Event & Program Coordination

  • Assist in planning and organizing company events, trainings, and engagement activities.

  • Coordinate event logistics, including venue, catering, and materials.

Transportation & Vehicle Management

  • Support transportation scheduling, vehicle maintenance tracking and driver coordination.

  • Maintain records of vehicle usage, fuel, and compliance documents.

Technology & Cost Optimization

  • Support adoption of workplace technologies, digital tools, and automation to streamline administrative operations.

  • Identify opportunities to reduce administrative costs and improve process efficiency.

  • Assist in implementing paperless workflows and digital record-keeping practices.

Process Improvement & Reporting

  • Supervise administrative staff, drivers, support staff and vendors, ensuring clear directions, task delegation, and performance accountability.

  • Ensure proper training, discipline, attendance and coordination within the admin team.

  • Maintain accurate records and assist in preparing operational reports.
