Responsibilities & Context:

• Manage LC (Letter of Credit) opening and retirement processes in coordination with banks and finance departments

• Maintain regular communication and liaison with overseas suppliers

• Coordinate and execute export/import activities with international suppliers

• Monitor procurement, shipment schedules, and delivery timelines

• Ensure compliance with trade regulations, documentation, and customs procedures

• Prepare and maintain import/export documentation

• Track shipments and resolve logistics or supply delays

• Support vendor management and supplier relationship development

• Assist in cost control, inventory planning, and supply forecasting

• Coordinate with internal departments (finance, sales, operations, warehouse) for smooth supply chain operations

• Practical experience on e-GP Tender and Manual Tender Submission Independently.

• Monitor government procurement and other portals, industry news to stay informed about upcoming projects and initiatives.

• Minimum of 4-7 years of experience in government tendering, required tender document preparation and submission management.

• Reviewing tender documents requirements and the scope of works, checking the feasibility for qualification and financial criteria, getting through the contract terms and conditions, liquidity damages, performance guarantee, milestone, bank guarantee requirements, payment terms and special conditions, taxes and duties.

• Ensure that all tender documents, including technical specifications, pricing information, and compliance statements are accurately formatted, consistent, complete and compliance met with tender requirements.

• Stay informed about industry trends, regulatory changes, and best practices in government procurement to inform bid strategies and tactics.

• Sourcing of capable supplier(s) ensuring effective procurement of, quality materials with competitive price by way of effective negotiation and obtaining management approval of each consignment.

• Coordinate with concerned Department, C & F Agents and Transport Agency after arrival of the consignments at port for ensuring smooth delivery of the same to the project

• Maintain deed of agreements in connection to a series of specific procurement covering a certain span of time or a future procurement towards protection of company interest

• Develop and execute procurement plans for different materials and chemicals for maintaining uninterrupted project operation
