Experience:

  • Minimum 2 years of relevant experience.

  • Experience in working with local communities, civil society, partners, and government is Preferable.

  • Good written communications skills, with ability to adapt style to suit different communications media and audiences.

  • Experience in working for a Humanitarian organisation and/or the Red Cross/Red Crescent Movement

Knowledge and Skills:

  • Proficient in MS Office

  • Knowledge of general administration and procurements

  • Knowledge of operational manual, guideline and tools

  • Able to influence, communicate, co-operate and negotiate with a wide range of people and organizations.

Languages:

  • Advanced knowledge of written and spoken English

  • Fluent in speaking and writing Bangla

  • Chittagonian or Rohingya is preferable.



Responsibilities & Context:
  • Assistant Administration and Finance Officer (American Red Cross)

  • Reporting to: Logistics & Admin Officer and Finance Officer (American Red Cross)

Job Purpose:

  • The Assistant Finance and Admin Officer will provide day-to-day administrative and financial support to the programs in Cox’s Bazar. This will include travel arrangements, logistics support, Inventory management etc.

Job Duties and Responsibilities:

Finance

1. Ensure day to day financial task

  • Monitor & track program budget Vs expenses appropriately.

  • Record and preserve all the financial documentations (Check & review, response/solve issues, record in system, update through tracker)

  • Assist to prepare & share tentative Budget vs Actual report based on tracker with all sector lead before preparing cash forecasting.

  • Assist to prepare, follow up & compile Cash Forecasting in every month with collaboration of all sectors.

  • Assist team in financial task (Checking all requisitions, bills/invoices and assist/support team to collect all approval for the concern approval authorities, keeping proper documentations, cash disbursements in the fields as required)

2. Assist team in financial tasks

  • Maintained efficient and professional working relationship and communication channel with AmRc team, IFRC & AmRC Dhaka office and other stake holders.

  • Collect all signed requisition from all approval parties/authorities and handed over to the designated person/department for next process.

  • Ensure all bills/invoice checked/ validate & compliance with the Organizational Financial policies and procedures & Local Government rules and regulation before submitting to the IFRC finance department.

  • Assist to review Bill vouchers of BDRCS.

  • Assist/Organize quarter orientation on financial management.

  • Assist and support Team to prepare & obtain approval on Purchase requisition and bills/invoices.

  • Orientate team (on job) for vital rules in terms of financial issues in the team.

  • Ensure visit field with team as per need.

Administrative

Travel:

  • Arrange travel of staffs including Air Ticket/ Car and Accommodation as per request

  • Update and maintain the travel tracker regularly.

Inventory:

  • Organize storage, security, and transportation of project materials to distribution sites with the necessary supporting documentation.

  • Manage inventory of all non-expendable assets such as IT equipment.

  • Track supplies, ensuring basic stocks of office and cleaning supplies are always available.

  • Ensure proper filing of necessary documents.

Administrative:

  • Provide logistical support and administration for special (Cancel) events, meetings, trainings, workshops, and so on.

  • Communicate with supplier and ensure all pending invoice are timely submitted.

  • Ensure all invoices are verified and submitted to Finance in a timely manner so that payments can be made efficiently.

General:

  • Supervise support staff such as cleaners when needed.

  • Assist with arrangement and contracting of office services such as cleaning, IT, fuel, water, internet, telecom, and sanitation.

Provide any other relevant support as needed.
