Communication & Interpersonal Skills: Exceptional verbal and written communication skills. Ability to de-escalate conflict, communicate with empathy, and liaise effectively with staff at all levels, from executives to frontline workers.

Problem-Solving: Excellent analytical and critical-thinking skills to assess complex situations and implement practical solutions.

Operational Acumen: A thorough understanding of hospital systems, departments, clinical workflows, and accreditation standards (e.g., JCI, NABH).

Resilience & Composure: High level of emotional intelligence and resilience to handle stress, long hours, and challenging interactions.



Responsibilities & Context:

1. Operational Management & Supervision

  • Assume responsibility for the entire hospital's non-clinical operations during the assigned shift.

  • Conduct regular rounds throughout the facility, including the Emergency Department, ICUs, Wards, Reception, and support service areas.

  • Ensure that all departments are functioning effectively and that staff are present and performing their duties.

  • Authorize and coordinate resource allocation as needed during the shift.

2. Patient Flow & Bed Management

  • Serve as the central authority for overseeing and expediting patient admissions, transfers, and discharges to optimize bed capacity.

  • Work closely with the Manager, Nursing Supervisors, and Physicians to resolve bed bottlenecks and ensure timely patient placement.

  • Make final decisions on patient placement in complex situations.

3. Emergency Response & Crisis Management

  • Act as the Incident Commander or administrative lead during internal and external emergencies (e.g., code blue, disaster alerts, mass casualty incidents).

  • Activate and coordinate the hospital's emergency response plans as required.

  • Liaise with emergency services (police, fire, ambulance) and other external agencies.

4. Issue Resolution

  • Function as the ultimate point of solution for all non-clinical problems encountered by staff, patients, and visitors.

  • Resolve complex and sensitive complaints related to service delays, facility issues, or interpersonal conflicts.

  • Make critical decisions on operational and administrative matters in the absence of department heads.

5. Inter-Departmental Coordination

  • Facilitate communication and collaboration between clinical (medical, nursing) and non-clinical (housekeeping, security, engineering, dietary) teams.

  • Ensure support services are responsive to the needs of clinical areas.

  • Coordinate with on-call staff for engineering, IT, and bio-medical support for urgent repairs.

6. Staff Support & Authority

  • Provide guidance, support, and direction to all staff during the shift.

  • Address immediate staff welfare and logistical issues.

  • Have the authority to reassign non-clinical staff temporarily to meet urgent operational needs.

7. Reporting & Documentation

  • Maintain a detailed and accurate documenting of all significant events, actions taken, decisions made, and issues resolved during the shift.

  • Provide a comprehensive handover report to the incoming Ast. Duty Manager and daytime administration.

  • Report critical incidents and near-misses to senior management as per hospital policy.
