Responsibilities & Context:
We are looking for a detail-oriented and responsible Tender Documentation Executive to manage and prepare tender-related documents, proposals, quotations, compliance papers, and submission requirements.
The ideal candidate should have strong documentation, communication, coordination, and organizational skills, with the ability to handle tender processes accurately and within strict deadlines.
Job Responsibilities
- Search, collect, and review relevant tender notices from government, private, and corporate sources.
- Analyze tender documents, eligibility criteria, technical requirements, commercial conditions, and submission guidelines.
- Prepare complete tender documentation according to specified requirements.
- Prepare and organize:
- Technical proposals
- Financial proposals
- Quotations
- Company profiles
- Experience certificates
- Work completion certificates
- Authorization letters
- Compliance statements
- Bank-related documents
- Supporting certificates and legal documents
- Ensure all required documents are updated, accurate, properly formatted, signed, sealed, and arranged before submission.
- Maintain checklists for each tender to ensure no mandatory document is missed.
- Coordinate with management, accounts, technical teams, suppliers, vendors, and other departments to collect required information and documents.
- Assist in preparing BOQ, price schedules, financial schedules, and comparative statements where applicable.
- Handle both online and offline tender submission processes.
- Work with e-GP and other online tender portals when required.
- Monitor tender deadlines, pre-bid meetings, clarification dates, submission dates, opening dates, and other important schedules.
- Prepare tender-related letters, declarations, undertakings, and official correspondence.
- Maintain proper records of submitted, awarded, ongoing, unsuccessful, and upcoming tenders.
- Follow up on tender status after submission.
- Assist with tender security, bank guarantees, pay orders, performance guarantees, and related documentation.
- Coordinate with relevant authorities or organizations for tender-related clarification when required.
- Maintain confidentiality of pricing, commercial information, and company documentation.
- Prepare regular reports on tender activities, submission status, results, and upcoming opportunities.
- Ensure compliance with company policies and tender authority requirements.
Educational Requirements
- Bachelor’s degree in Business Administration, Management, Finance, Accounting, Public Administration, or any relevant discipline.
- Candidates with relevant professional training in tender management, procurement, or documentation will receive preference.
Experience Requirements
- 1–3 years of experience in tender documentation, procurement, bidding, proposal preparation, or a related field.
- Fresh graduates with strong documentation and MS Office skills may also be considered for junior-level positions.
- Experience with government or corporate tenders will be an advantage.
Required Skills
- Strong knowledge of tender documentation and submission procedures.
- Good command of Microsoft Word, Excel, PowerPoint, and PDF documentation.
- Ability to prepare professional official documents and proposals.
- Strong attention to detail and accuracy.
- Good written and verbal communication skills in both Bangla and English.
- Ability to understand tender conditions and compliance requirements.
- Good knowledge of document formatting, file organization, scanning, merging, and PDF preparation.
- Familiarity with e-GP or online tender submission systems will be an advantage.
- Basic knowledge of procurement, quotation preparation, and commercial documentation.
- Ability to work under pressure and meet strict submission deadlines.
