Responsibilities & Context:
  • Receive incoming shipments of medical supplies, equipment, and materials.

  • Verify quantities received against purchase orders and ensure compliance with quality standards.

  • Unpack and inspect items for damage or defects. Report any discrepancies or issues to the concern authority.

  • Ensure proper storage of supplies and materials in designated areas within the store department.

  • Organize inventory to maximize space utilization and facilitate easy retrieval.

  • Maintain accurate records of inventory levels, stock movements, and transactions using inventory management software or manual record-keeping systems.

  • Monitor stock levels and reorder supplies as needed to maintain adequate inventory levels.

  • Coordinate with the procurement department to initiate purchase requisitions and replenish stock.

  • Prepare and process purchase orders, delivery notes, and other documentation related to store transactions.

  • Ensure compliance with procurement policies and procedures.

  • Coordinate with suppliers, vendors, and internal departments to resolve issues related to deliveries, returns, and stock discrepancies.

  • Conduct regular stock audits and cycle counts to verify inventory accuracy. Investigate and resolve discrepancies identified during audits.

  • Issue supplies and materials to various hospital departments based on approved requisitions.

  • Ensure proper documentation and record-keeping for all outgoing transactions.

  • Assist in the preparation of annual inventory reports, budget planning, and forecasting activities.

  • Implement measures to ensure the security of stored items and prevent loss, theft, or damage.

  • Adhere to safety guidelines and protocols while handling hazardous or sensitive materials.

  • Maintain cleanliness and organization of the store department, including shelving units, storage racks, and work areas.

  • Train and supervise store assistants or other staff involved in store operations. Provide guidance, support, and feedback to ensure efficient performance.

  • Stay informed about developments in inventory management practices, storage techniques, and healthcare supply chain trends.

  • Continuously seek opportunities for process improvement and operational efficiency.
