Responsibilities & Context:

Responsible for:

  • Report writing and documentation.

  • Regular communication and coordination with the field team to keep project expenditure and activities on track

  • Identify and evaluate the risks associated with program activities and take appropriate steps under the supervision of reportable seniors.

  • Conduct regular field visits at project operation sites.

  • Organize meetings, seminars, and workshops with the help of the supervisor.

  • To look after the administrative issues and & maintain logistic supply, and buffer stock from the head office.

  • To assist in preparing monthly, quarterly, bi-annual, and annual work, narrative & analytical reports, and budgets for the projects.

  • To prepare Purchase Requisition (according to requirement), ensure delivery to the field level, and keep a record of the project documents.

  • Maintain effective coordination with finance, procurement, HR, Admin, and other departments.

  • Ensure smooth flow of logistics and other support from the HO to the field.

  • To monitor the progress of the program at the field level, manage risks, and prepare plans.

  • Maintain communication with donor representatives, the Government, and other stakeholders.

  • Prepare SoPs, Guidelines, Reporting formats, and Checklists for service quality assurance and effective monitoring and supervision at the field level.

  • Remain up to date with public health and nutrition-related advancements and current information.

Activities:

  • Maintain regular communication with the field team.

  • Monthly field visits to the project sites to monitor field activities and take necessary corrective measures to strengthen the programme.

  • Prepare donor reports, monthly project progress reports, and ensure all deliverables are submitted on time.

  • Prepare project budgets, budget variance, PR tracker, and expenditure plan for different projects and maintain close communication and collaboration with project managers to ensure efficient utilization of project resources.

  • Ensure program goals and objectives remain aligned with the overall strategic objective of Friendship.

  • Understand the concept, strategy, and perception of the entire project.

  • Ensure all project-related outcomes, outputs, and results are on track and achieved in a timely manner.

  • Maintain liaison with all stakeholders including government, national, international, and UN bodies by actively participating in different workshops, training, meetings, etc.

  • To be aware of existing, new, modified, and updated policies of public health project mangement.

  • Identifying a strategic position for achieving the goal.

  • Constantly monitoring the performance of Friendship Facilities.

  • Secure financial and non-financial resources.

  • Producing reports, purchase requisitions, recruitment requisitions, and other documents as per programme needs.

  • Work closely with the programme support teams to ensure the timely delivery of project resources.

Skill and Competencies

  • M.B.B.S/BDS degree with a valid BMDC registration number and a Master’s of Public Health from a reputed institute.

  • 2 to 3 years of experience working in a public health project management position in a reputed organization.

  • Excellent communication skills, both in Bengali and English.

  • Excellent computer skills.

  • Ability to work under pressure.

  • Team Player.

  • Willingness to travel to hard-to-reach areas to oversee project activities.
