Skill and Competencies:

  • 3 – 5 years of experience in administration
  • Experience in NGO is preferable.
  • Excellent computer skills
  • Strong interpersonal skills
  • Self-driven to work under pressure (pro-active attitude).


Responsibilities & Context:

Responsible for:

  • Oversee office operations, facilities, and supplies.
  • Manage vendors, service providers, and contracts.
  • Support management with correspondence, reports, and documentation.
  • Organize meetings, events, and travel arrangements.
  • Ensure compliance with company policies and administrative procedures.
  • Maintain proper record-keeping and filing systems.

Activities:

1.   Office & Facility Management

  • Ensure efficient operation and maintenance of office premises, utilities, equipment, and supplies.
  • Supervise housekeeping, security, transportation, and other support services.
  • Maintain office assets and oversee repair/replacement needs.

2. Administrative Support

  • Provide administrative support to organization.
  • Organize meetings, workshops, and official events.

3. Goods (medicines & other materials) Management

  • Maintain vendor relationships and ensure timely receive & delivery of goods and services.
  • Monitor expenses and ensure cost-effective solutions.

4. Compliance & Record Keeping

  • Ensure compliance with organizational policies, health & safety regulations.
  • Maintain updated records of contracts, licenses, and administrative documents.
  • Prepare reports and presentations as required.

5. Various office management tasks:

  • Perform efficiently for different problem-solving activity in accordance with supervisor’s instruction. Assist with office repair and maintenance work as needed.

6. Others

  • To carry out any other function/administrative tasks as delegated by the Supervisor or Management.
