Requirements: Skills Required: Additional Requirements: - At least 5 years working experience in development field, preference will be given who have at least 3 years managerial position.
- Have the experience to organize workshops, seminars. Capacity development training on AIGA, leadership, service delivery etc.
- English and Bangla report writing.
Responsibilities & Context: Responsible for:
- Security Assessment
- Crisis Management
- Emergency Support
- Administrative Support & HR Management
- Coordination with GoB and other stakeholders
- Financial matters
Activities:
Major responsibilities under 'Field Operation'
- Manage Pre-project Set Up with respective project personnel.
- Visit proposed area and conduct visual survey to understand state of the community.
- Communicate with community leaders and local government officials and collect area information.
- Supply Procurement and Land Purchase/ Rental.
- Assist with searching and identifying property suitable for project office.
Security Assessment:
- Conduct assessments of security needs of working areas including natural threats, staff safety, local law and order.
- Visit field to monitor and supervise security and safety procedures of organization’s asset and personnel.
- Perform firefighting training in general.
- Keep all passengers cognizant of the usage of lifejackets for the duration of any journey over water.
Crisis Management:
- Investigate issues by visiting the field or over the phone.
- Notify in writing or in meeting the relevant department heads and immediate supervisor.
- Take necessary steps to resolve the issue and instruct the project staff.
- Update senior management and program head about issue and plan for long term solution if needed.
Emergency Support:
- Receive notification of natural and manmade disasters (including fires) in Friendship working areas.
- Inform senior management and program head of immediate action plan and assemble emergency team.
- Obtain necessary cash, equipment, transport, supplies.
- Prepare narrative and expense report on emergency support provided and submits to immediate supervisor.
- Return unused cash, equipment and supplies to appropriate department
- Arrange weekly short meeting with all the PMs to review their weekly plan
- Review monthly boat requests from project managers and submit them to Senior Management for approval.
- Arrange and lead all staff quarterly meetings. Attend quarterly meetings at HO.
- Coordinate the donors’ visit with all the respective projects
- Guide and assist the local Assistant MIS officers in recording and presenting information
- Select date and location of meeting to notify community of project temporary closing or permanent closing
- Invite community leaders, beneficiaries, local GOB and elected officials, other NGOs
- Assist with conducting meeting and ask for feedback on the project and explain future project plans
- Keeping meeting minutes record and sign by Friendship attendees.
- Assist with internal coordination of staff transfer to new project or staff separation.
Major responsibilities under 'Administration'
- Ensure the management and efficient utilization of Friendship’s assets and properties, including movement updates, in accordance with policy guidelines.
- To monitor Inventory of stores and stocks and report quarterly by the project manager
- Organize and conduct internal and external co-ordination.
- Provide admin support to EFH & LFH as and when called for.
- Provide admin support and monitor transport management, i.e. Motor cycle usage, Boats and vehicle.
- Ensure all practical arrangements are made for conferences, workshops, meetings and visits in country.
- Ensure all M. Vehicles are maintained as per Friendship M.V. Policy. Report to Head Office on monthly basis
Major responsibilities under 'HR Management'
- Maintain leave and attendees register.
- Maintain movement register.
- Grievance handle and manage any grievance come to notice.
Major responsibilities under 'Coordination with GoB and other stakeholders'
- Maintain good coordination with the GoB counterparts.
- Attend GoB meeting where and when appropriate.
- Collect FD- from HO and send to respective Govt.
- Jointly with project manager organized field visit of GoB Counterparts and report to immediate supervisor.
Financial matters:
- Responsible for preparing yearly budget covering admin, common expenditure and Contingencies for district office
- Should have involvement in preparation of monthly fund requisition by PMs and others.
- Review the expenditure, check bill/voucher and signed accordingly
- Ensure transparent procurement at district level following office procedure; guide the assistant Manager-Purchase.
