Responsibilities & Context:

Receptionist – Key Responsibilities

  1. Front Desk Management

    • Greet and welcome all clients, patients, and visitors with a friendly and professional attitude.

    • Maintain a clean, organized, and welcoming reception area.

  2. Appointment Scheduling

    • Manage daily appointments for doctors, therapists, and wellness consultants.

    • Confirm, reschedule, or cancel appointments as needed.

    • Maintain an accurate and up-to-date appointment calendar.

  3. Client Communication

    • Answer phone calls, emails, and messages promptly and professionally.

    • Provide information about wellness programs, treatments, and services offered.

    • Handle client inquiries and direct them to the appropriate staff or department.

  4. Check-In & Check-Out Process

    • Register new clients and update returning client records.

    • Collect payments, issue receipts, and maintain financial logs accurately.

    • Ensure proper documentation for each client visit.

  5. Coordination & Support

    • Assist the administrative and medical teams with day-to-day operations.

    • Communicate effectively with doctors, nurses, and therapists about client arrivals and schedules.

    • Support marketing or promotional activities when needed.

  6. Record Keeping

    • Maintain confidential patient and client files following privacy standards.

    • Keep track of daily visits, appointments, and feedback.

  7. Customer Care

    • Ensure every visitor has a positive and professional experience.

    • Address and resolve minor complaints politely or escalate them to management if needed.

  8. Administrative Duties

    • Manage office supplies and ensure reception materials are stocked.

    • Assist with basic clerical tasks such as data entry, filing, and reporting.
