Job Context:
∎ Ipas works globally since 1973 with a mission to improve women and girls sexual and reproductive health and rights through enhanced access to and use of abortion and contraceptive care. In Bangladesh we are working with close collaboration of Ministry of Health and Family Welfare and its directorates since 2011 to improve availability, access to and utilization of high quality SRHR services particularly MR, PAC and FP services throughout the country and in humanitarian settings.

∎ Ipas Bangladesh is going to implement a project funded by Global Affairs Canada through HealthBridge titled `Improving Sexual and Reproductive Health and Rights in Dhaka` to improve availability and access of quality SRHR services particularly family planning, MR and Post-abortion care (PAC) services for poor and ultra-poor women and adolescents living urban areas of greater Dhaka. The project will also work to reduce SGBV by creating awareness among city dwellers. To ensure uninterrupted SRHR services during any public health emergency including COVID-19 pandemic, the project will also work for emergency preparedness and responses. The five-year project will be implemented from now till March 2026 in collaborate with city corporations` health authorities and their health programs, DGFP and DGHS, BGMEA and other stakeholders and partners (OGSB, BAPSA, RHSTEP & SERAC Bangladesh).

Job Responsibilities:
∎ Logistic Support and event management
∎ Provide assistance to project team in arranging conferences, workshops, meetings and training sessions that includes venue arrangement, participants invitation, and producing materials.
∎ Documenting participants presence and expenditures of different project events including conferences and events.
∎ Provide assistance in attending guests and keeping attendance sheet of the training/meeting/workshop.
∎ Arrange receiving and sending project logistics; maintain files of incoming/outgoing challans, distribution lists and stock records.
∎ Procurement, storing & stock management:
∎ Assist in arranging procurement of project material and other supplies/equipment following Ipas procurement policy as per approved requisition within agreed deadline.
∎ Receive Bills/Invoices, organize with necessary supporting, ensure Work Order numbers and GRN seals etc. and submit to Finance Dept. for payment.
∎ Maintenance of project/office equipment, logistics and commodity
∎ Assist Supervisor in preparing quarterly/monthly procurement request; maintain project/office store; and assist in maintaining inventory for project/office equipment.
∎ Receiving/dispatching letters, documents, packages, and other items
∎ Pick up and deliver messages, documents, packages, and other items between couriers, Ipas offices, partner, and government offices or to other business concerns like banks, vendors etc.
∎ Travel Arrangement:
∎ Assist in arranging tickets (domestic & International), or rents vehicle/transports as per approved tour programs/requests.
∎ Assist in depositing visa applications and collecting passport, carry out bank activities related to international travel.
∎ Assist in arranging room reservation/accommodation for travelers as per travel authorization.
∎ Assist in processing visa applications and other logistical support in connection with foreign travel. (i.e. VISA, Insurance for foreign travel, NGOAB approval etc.)
∎ Any other work requested by the supervisor.

Additional Requirements:
∎ Competency in Microsoft office (MS Word, Excel), develop spreadsheet
∎ 1 to 2 years working experience in an NGO/INGO as Office Assistant
∎ Good communications and writing skills in English and Bangla.
∎ Ability to work as an effective team player.
∎ Experience of preparing procurement request, tender documents and travel request.
∎ Experience in travel arrangement including ticket and hotel booking.
∎ Develop event and travel budget
∎ Ability to write and understand email communication and experience to use Outlook and common office softwires.

Salary:
∎ Ipas Bangladesh will offer an annual salary of BDT 392,000 to 412,000
