∎ 2 to 5 year(s)

Job Responsibilities:
∎ Responsible for overall compliance with NGO Affairs Bureau and Local Administration such as District Commissioner Offices and Upazila Nirbahi Officer Offices with support from both the Program Team and Finance Team.
∎ Responsible for overall office management, logistics, secretarial support and event management as per requirements of the organization.
∎ Compliance with NGO Affairs Bureau regulations and requirements will include:
∎ Renewal of Registration of the Organization.
∎ FD 6 development in cooperation with the Program and Finance Team. Submission to NGO Affairs Bureau of FD 6 and follow up to ensure approval on time for the program.
∎ Assessing the need for FD 6 revision with the cooperation of the Program and Finance Team. Submission to NGO Affairs Bureau of revised FD 6 and follow up to ensure approval on time for the program.
∎ Obtain fund clearance from NGOAB in a timely fashion to release the fund from bank for implementing the organizational operations by preparing and submitting the FD-2.
∎ Preparing FD -3, FD -9 and other relevant forms to ensure compliance.
∎ Preparing annual report with support of Program and Finance Team.
∎ Ensuring timely submission of Audit Reports to NGO Affairs Bureau with the support of the Finance Team. Follow up with NGO Affairs Bureau for Audit Observations and approval. Ensuring Audit Approval on time for the project from the NGO Affairs Bureau.
∎ Obtain fund clearance from NGO Affairs Bureau in a timely fashion to release the fund from bank for implementing the organizational operations by preparing and submitting the FD-2.
∎ Facilitating work permit and VISA for Regional Coordinator/Expatriate Staff on time and all subsequent renewals as required for the operation of the program. Obtaining Tax Certificate for Regional Coordinator/Expatriate Staff as required with support of the Finance Team.
∎ All other NGO Affairs Bureau Compliance requirements that may emerge.
∎ Compliance with Local Administration regulations and requirements will include:
∎ Liaise with District Commissioner (DC) offices and UNO (Upazila Nirbahi Officer) Offices for smooth operation of the program.
∎ Submission of reports as required to DC offices and UNO (Upazila Nirbahi Officer) Offices on time with the support of the Program and Finance Team.
∎ Attend meetings of DC Offices and UNO (Upazila Nirbahi Officer) Offices as required.
∎ Apply for and secure Prottoyon Potro (Satisfactory Program Implementation Certificate) from DC and UNO offices as required. Coordinate with and facilitate inspection visits from the DC offices as required to secure Prottoyon Potro on time for compliance with NGO Affairs Bureau requirements.
∎ Ensuring all other compliance for Local Administration with the support of Program and Finance Team.
∎ Overall Office Management, Procurement & Secretarial Support:
∎ Maintain petty cash. File petty cash report with Finance Department.
∎ Maintain staff personnel files. Maintain records of attendance and leave.
∎ Maintain records of hard copy files in use in the office. Ensure proper filing of documents with support of the team.
∎ Maintain inventory and ensure timely supply of office stationery, kitchen supplies and other consumables with the assistance of the Office Assistant.
∎ Assist all international and domestic travel arrangements, accommodation, and other logistics for all employees.
∎ Maintain Asset Register with the assistance of the Office Assistant.
∎ Office Management and supervision of support staff.
∎ Maintain calendar of events for the Regional Coordinator and provide all necessary secretarial support including drafting of letters for various purposes.
∎ Event management and planning of activities in coordination with Program and Finance Team. Assist to organize workshop, meeting.
∎ Perform procurement activities such as sourcing, quotations, price negotiation, PO processing, ordering, tracking, delivery and reporting.
∎ Other additional responsibilities that may be assigned as per the needs of the organization.

Additional Requirements:
∎ Age at least 25 years
∎ Structured and organized.
∎ Excellent English and Bangla language skills, verbal and written.
∎ Proficient in MS Excel, MS Word, and MS Power point. Able to type in both English and Bangla.
∎ Proficient in remote work and online communications.
∎ Understanding of project implementation modalities in Bangladesh.
∎ Ability to meet strict deadlines, handle situations of multi-tasking and to work in a multi-cultural and diverse workforce.
∎ Must adhere to organizational rules and sign the Organizational Code of Conduct.

Salary: Negotiable

Compensation & Other Benefits:
∎ 2 - Day Weekend.
∎ Bengali New Year Bonus equivalent to 20% of Gross Salary (Pro-rata basis).
∎ Two festival bonuses in a year, each equivalent to 50% of Gross Salary (Pro-rata basis).
∎ Annual Leave, Sick Leave, Maternity leave and paternity leave.
∎ Provision for Gratuity.
∎ Limited Health Insurance.
