Qualifications & Experience:

• 1–3 years of experience as a Personal Secretary / Executive Assistant / Coordinator to top management.

• Excellent command of English & Bengali (written and spoken).

• Strong communication, interpersonal, and organizational skills.

• Ability to handle confidential information with discretion.

• Proven experience in using digital tools, AI applications, and office automation software.

• Proficiency in MS Office 365, Google Workspace, Calendar Management Tools, and virtual meeting platforms (Zoom, Meet etc.).

• High adaptability, problem-solving skills, and the ability to work under pressure.

Preferred Skills / Additional Requirements:

• Professional appearance, etiquette, and high emotional intelligence.

• Strong analytical and reporting ability.

• Knowledge of AI tools (ChatGPT, Gemini, Copilot, etc.), automation, and modern business communication practices.

• Strong research and presentation capability (PowerPoint, Canva, etc.).

• Familiar with social media and digital reputation management.

Responsibilities & Context:

Position Summary:

The Personal Secretary (PS) will provide high-level administrative, executive, and strategic support to the Chairman, ensuring smooth coordination, effective communication, and efficient execution of daily activities. The ideal candidate must demonstrate professionalism, confidentiality, multitasking ability, and proficiency in modern technologies, digital tools, and AI-based productivity applications to optimize the Chairman’s workflow and decision-making process.

Key Responsibilities:

1. Executive & Administrative Support

• Manage the Chairman’s daily schedule, appointments, meetings, and travel plans.

• Screen, prioritize, and respond to emails, phone calls, and correspondence professionally.

• Draft, proofread, and prepare official letters, memos, reports, and presentations.

• Maintain effective document management, filing systems, and confidential records.

• Support in preparing meeting briefs, minutes, and follow-ups to ensure timely execution of decisions.

• Liaise with internal departments, external stakeholders, and VIP guests on behalf of the Chairman.

2. Communication & Coordination

• Act as a reliable communication bridge between the Chairman and senior executives.

• Ensure smooth information flow and maintain confidentiality at all times.

• Coordinate with key internal and external partners for meetings, events, and engagements.

• Handle sensitive and confidential matters with utmost discretion.

3. Technology & AI Integration

• Utilize AI-driven productivity tools (ChatGPT, Microsoft Copilot, etc.) for communication drafts, scheduling, research, and workflow optimization.

• Manage digital platforms, including LinkedIn, Zoom, or other virtual communication channels.

• Prepare AI-assisted reports, summaries, and data visualizations for the Chairman’s review.

• Support the Chairman in exploring emerging technologies and digital transformation opportunities across Saic Group.

4. Research & Analytical Support

• Conduct background research, data gathering, and analysis to support decision-making.

• Prepare concise executive summaries and business briefs.

• Track current affairs, industry trends, and competitor intelligence relevant to the Group’s interests.

5. Event & Travel Management

• Organize local and international trips, meetings, and conferences.

• Manage travel logistics (visa, ticketing, accommodation, itineraries).

• Support in event planning, including media briefings and stakeholder visits.
